Role: Executive Assistant / Executive Shadow (Operations, AI Systems & Growth)

This is not a traditional executive assistant role.

We are looking for a personal shadow and emerging operator—someone who can support at a high level today and grow into leading systems, people, and initiatives over time. This role combines execution, systems thinking, communication, and leadership potential.

You will work directly with the executive as an extension of their thinking and execution—removing friction, owning outcomes, improving processes, and helping move a complex, fast-moving business forward.

This role will not be easy. There is a lot of ground to cover, a high bar for quality, and an expectation of continuous learning.
For the right person, however, this is an exceptional opportunity to grow quickly, take on real responsibility, and develop into a high-leverage operator.

THE ROLE

As an Executive Assistant / Executive Shadow, your job is to create leverage across the business.

You will manage communications, coordinate operations, support funnels and campaigns, work inside GoHighLevel and related AI tools, and help ensure that projects, teammates, and systems are moving forward smoothly. Over time, you may also lead initiatives, follow up with teammates, and participate in or run meetings, including occasional client-facing conversations.

You will be expected to learn our systems deeply by going through SOPs, trainings, and live workflows—and then actively improve those systems by identifying gaps, inefficiencies, risks, and opportunities.

KEY RESPONSIBILITIES

Full ownership of email management and executive communications

Managing communication across email, chat platforms, and internal tools

Working inside GoHighLevel for CRM, funnels, automations, and workflows

Supporting and coordinating:

Webinars

Low-ticket funnels

High-ticket funnels and sales processes

Using and learning AI tools to improve speed, quality, and leverage

Following SOPs, trainings, and workflows—and improving them over time

Flagging weaknesses, bottlenecks, and opportunities across systems and processes

Following up with teammates to ensure clarity, accountability, and completion

Participating in tea ---------- etings and private 1:1 meetings

Occasionally joining or leading client-facing conversations when appropriate

Proactively removing tasks from the executive’s plate

ROLE REQUIREMENTS

Strong organizational skills and ability to manage multiple priorities

Clear, professional written and verbal communication

Comfort working independently and making sound decisions

Experience with or strong aptitude for learning tools like GoHighLevel

Interest in AI tools, automation, and modern tech stacks

Strong time management and follow-through

Professional discretion when handling sensitive information

Problem-solving mindset with systems-level thinking

Comfort operating in fast-paced, dynamic environments

You do not need to know everything on day one.
