We are Australia's largest dessert chain, serving delicious offerings in a multi unit QSR environment. We employ 1000+ employees across our stores, warehouse and support office and are proud of our working environment and culture.
We are poised for rapid expansion and need to bolster the administrative support to ensure that our property and franchising teams are poised for success. As such, we are on the lookout for an experienced coordinator who can assist us with our growth ambitions by keeping the engine room ticking and ensuring that everyone is organised.
Experience & Skills Required:
- Background in project management, property, or real estate.
- Experience in build-related project management (retail and hospitality preferred).
- Ability to read and interpret architectural plans.
- Understanding of P&Ls and Project Management accounting is beneficial.
- Strong proficiency in spreadsheets and other technology tools.
- High attention to detail and ability to manage and follow up on multiple tasks.
- Excellent written and verbal communication skills.
The role involves completing a variety of tasks, including the key responsibilities listed below:
- Support the external PM team to ensure successful completion of all build-related projects.
- Track project milestones, flag issues, and follow up with relevant departments to ensure timely approvals.
- Organize and attend weekly Build/Design and PM tea
- Prepare and distribute weekly store updates to internal teams, keeping all stakeholders informed of timelines, opening dates, and changes.
- Forward newly signed franchise offers and relevant documentation (NSI, tenancy plans, fit-out guidelines, special conditions) to the External Design/PM team.
- Assist with processing permits, fees, and applications for new stores in coordination with the External Design/PM team, landlords, and Franchise Partners.
- Create and manage lists of joinery, signage, furniture, and equipment; prepare and place purchase orders and coordinate with suppliers to ensure timely delivery.
- Support the preparation of capital expenditure (capex) estimates and related documentation, including scheduling meetings with Franchise Partners.
- Maintain organized project documents in Google Drive and other internal systems.
- Perform monthly reconciliation of the designated company credit card using Web Expenses.
- Provide fortnightly build project updates to Franchise Partners and weekly status updates to internal teams and Store Operations.
- Arrange meetings with Franchise Partners RDMs and internal teams, ensuring schedules are coordinated efficiently.
- Perform other duties as required to support Build, Design, and Project Management operations.
This will be a full time role. It will be performed remotely in an Australian Eastern Standard Time time zone. Our office hours are 9am-5.30pm Monday to Friday. We can provide some flexibility as required, but you will be online mostly during these hours.
