Vero Maintenance is seeking a detail-oriented and highly organized Accounting Administrator to support our fast-growing maintenance operations. This role is essential to our financial accuracy, billing efficiency, vendor relations, and smooth administrative processes across all service lines.

Vero Maintenance is a modern, tech-enabled maintenance services provider supporting property managers, HOAs, condo associations, and real estate operators. We deliver reliable, efficient, high-quality maintenance solutions backed by transparent communication, strong internal processes, and streamlined service workflows. As our operational volume continues to grow, we are expanding our accounting and administrative team to support accurate invoicing, financial tracking, and day-to-day operational coordination.
Position Summary
The Accounting Administrator plays a key role in supporting accounts payable, accounts receivable, vendor billing, internal reporting, and general financial administration. This role will collaborate closely with the Operations, Field, and Leadership teams to ensure that all financial data is accurate, timely, and aligned with company processes.
Key Responsibilities
Accounts Receivable
- Prepare, review, and send invoices to clients and property management companies.
- Track outstanding payments and follow up on overdue invoices.
- Maintain accurate customer records and payment history.
- Reconcile customer accounts and investigate discrepancies.
Accounts Payable
- Process vendor invoices and ensure all billing matches work orders and service documentation.
- Manage payment schedules and ensure timely vendor payments.
- Reconcile vendor accounts and coordinate with Operations for approval.
- Maintain organized digital files and payment records.
Financial Administration
- Assist with weekly and monthly financial reporting.
- Support preparation of expense reports and job-cost summaries.
- Help maintain accurate accounting data through QuickBooks or other accounting software.
- Work with leadership to ensure compliance with internal financial procedures.
Operational Support
- Collaborate with Operations to verify job details, service notes, labor hours, and materials used.
- Communicate with property managers and vendors to resolve billing questions or documentation gaps.
- Support onboarding of vendors from a financial/billing accuracy perspective.
- Maintain organized internal documentation for audits and financial reviews.
Skills & Qualifications
- 1–3 years of experience in accounting, bookkeeping, financial administration, or office management.
- Experience with QuickBooks (or similar accounting systems) preferred.
- Strong proficiency with Microsoft Excel and Google Sheets.
- Exceptional attention to detail and accuracy.
- Strong communication skills (written and verbal).
- Ability to prioritize tasks and manage multiple deadlines.
- Experience in maintenance, field service, property management, or real estate industries is a plus.
