About us:

EIG Property Management is based in Minneapolis, MN. We manage 1,400 apartment rental units in the Twin Cities. We are seeking a full-time remote Virtual Assistant Property Coordinator to join our great team! As a Virtual Assistant Property Coordinator, you will be the primary point of contact for our residents, answering calls, offering tenant support, supporting the on-the-ground property managers, and assisting with various administrative tasks.

The ideal candidate is a proactive, hardworking, and dependable tea ---------- mber who is eager to learn new tasks and take initiative. We are seeking one dedicated individual able to work 40–50 hours per week, including after-hours shifts and one or two weekend shifts per month (US Central Time). Please note that we are not considering agencies or candidates holding another job during our business hours.

Responsibilities:

1. Manage Lease Renewals: Train staff on performing lease renewals, monitor renewal status across teams, draft renewal leases, and send leases for electronic signature.

2. Manage Delinquency: Train staff on delinquency processes, monitor delinquency status across teams, submit eviction complaints to attorneys, and coordinate eviction processes with attorneys and property management teams.

3. Property and Tenant Records: Maintain accurate and up-to-date property and tenant records.

4. Communication Management: Receive and return phone calls, texts, and emails; communicate effectively with tenants and 3rd party stakeholders.

5. Emergency & Task Coordination: Monitor incoming emails, calls, and tasks; assess emergency situations; coordinate with the team and vendors; dispatch on-call technicians or vendors; notify tenants of progress; update notes with actions taken once work is completed.

6. Inspection Management: Assign unit inspections to property management teams, track inspection progress, compile and analyze inspection results, ensure high-quality standards, and identify performance trends.

7. Maintenance Oversight: Review inspection reports and create maintenance tasks; review maintenance tasks and ensure proper closure with detailed notes and photos.

8. Utilities & Data Management: Coordinate activities to address high water usage; download data and complete data entry tasks.

Job Requirements

- Excellent English speaking and writing ability.
- Technology Requirements: strong, consistent internet and electricity, 2 screens, 10-key on your keyboard, headset.
- As this is a work-from-home setup, you must have a quiet working environment anytime you are clocked in for work.
- US Central Time hours as scheduled, generally an 8-9 hour day, Monday to Friday between 8 AM and 5 PM.

Qualifications:

- Preferred 4-year university degree
- Preferred previous experience in property management for at least 3 years
- Preferred experience with Google Workspace, particularly with Google Sheets and/or MS Excel
