We serve crafters through our membership, coaching, courses, live events at The Craft House, and digital programs.
We are expanding quickly, hosting multiple challenges, webinars, events, and content releases every month. We need a world-class Operations Manager who can bring order, structure, and excellence to our fast-paced creative company.

POSITION OVERVIEW
We are hiring an Operations Manager / Integrator / Online Business Manager to support daily operations, manage team workflow, oversee digital projects, and ensure that all launches, challenges, events, and content are delivered on time and at high quality.

This is NOT a basic VA job.

This is a leadership role for someone who loves structure, accountability, team oversight, and project management.
You will work directly with Coach Ky to bring her vision to life and ensure nothing falls through the cracks.

WORK SCHEDULE (REQUIRED)
You must be able to work:
9:00 a.m. – 5:00 p.m. EST
or
10:00 a.m. – 6:00 p.m. EST

Full-time. Monday to Friday. Occasional weekends during major launches.

Or Part-time with hours that we can negotiate within that timeframe.

If you cannot work U.S. daytime hours, do not apply.

KEY RESPONSIBILITIES
1. Project Management & Execution
Turn Coach Ky’s ideas into organized ClickUp project plans
Create SOP’s for all event types
Manage multiple projects at once, including:
Monthly challenges (5 planned next month)
Weekly webinars (2 per week)
Events at The Craft House (twice monthly)
Membership launches
Product and course releases
YouTube and social content schedules


Ensure all deadlines are met across the entire team
Move tasks forward, follow up proactively, and remove bottlenecks
Contribute to project deliverables

2. Team Oversight & Accountability
Oversee staff and contractors (editors, designers, assistant, SMM, etc.)
Assign tasks, check progress, and ensure timely delivery
Hold people accountable with firmness and professionalism
Communicate daily with the team to ensure alignment
Keep the CEO OUT of the weeds by managing the in-between when possible
Create Agendas and lead tea ---------- etings

3. Content & Social Oversight
Review posting schedules to ensure accuracy and consistency
Oversee editors for YouTube and short-form content
Manage content calendars and ensure everything is submitted on time
Assist in optimizing content flow for launches and events

4. CRM, Systems, and Automation
Work inside GoHighLevel for:
Workflow updates
Funnel checks
Tagging and segmenting
Customer experience automation


Ensure tech pieces are correct during launches and onboarding

5. Membership & Customer Experience
Assist in building and improving our membership portal
Support onboarding for new members
Ensure smooth delivery of challenges, events, and program materials
Improve systems to increase satisfaction and reduce churn

6. CEO Support
Protect the CEO’s time
Provide daily operational updates
Anticipate needs and solve problems before they reach her
Turn high-level ideas into actionable plans
REQUIRED SKILLS & EXPERIENCE
Do NOT apply unless you meet all of the following:
Experience
2+ years in online business management or operations
Experience managing remote teams
Experience with digital businesses, coaching businesses, or membership programs
Experience managing launches, webinars, or challenges


Technical Requirements
Strong ClickUp experience
Strong GoHighLevel experience (or similar CRM)
Comfortable managing content calendars and deliverables
Excellent written and spoken English

Video editing experience
Experience in YouTube content management
Graphic design familiarity
Experience with community or membership platforms
Understanding of the crafting or creative industry
