The Colorado Fine Arts Association (CFAA) is a nonprofit dedicated to bringing world-class Indian and other South Asian classical music, dance, and cultural programs to Colorado. We serve a vibrant community of patrons, artists, and cultural partners while promoting education and artistic excellence.
Position Overview
CFAA is seeking a highly organized, proactive Virtual Assistant to support our administrative operations, patron communication, event coordination, and digital outreach. This role is ideal for someone comfortable working independently, managing multiple tasks, and communicating professionally with both internal teams and external stakeholders.
Key Responsibilities
Patron Communication & Administrative Support
Respond to
Coordinate communication between patrons and the CFAA board when needed.
Assist with sending regular notification
Help maintain and grow our mailing list organically.
Website & Content Management
Update WordPress and other CFAA-related websites as needed (announcements, event listings, images, documents).
Ensure pages remain accurate, accessible, and mobile-friendly.
Bookkeeping & Financial Coordination
Assist with basic bookkeeping tasks such as categorizing expenses, updating donation records, reconciling event transactions, and running QuickBooks reports.
Coordinate with the Treasurer / Executive Director on monthly updates.
Organize and maintain digital folders for receipts, ensuring all event-related and operational expenses are properly documented and categorized.
Identify missing receipts or documentation gaps, follow up with the appropriate team members, and help implement simple processes to prevent missing records in the future.
Event & Venue Coordination
Contact venues (phone/email) to check availability, request estimates, confirm policies, and maintain a venue options list.
Help schedule dates for monthly events and track follow-up actions.
Collect contracts and paperwork for Executive Director signature.
Assist with logistical coordination around event promotion (flyers, links, schedules).
Artist Relationship & Scheduling
Receive, log, and organize requests from artists interested in performing for CFAA.
Develop MoU from templates and ensure signatures are intact
Collect and organize W9 from vendors and service providers
Maintain a structured database or sheet of all inbound artist submissions.
Share artist lists and updates with the Board of Directors regularly.
Marketing & Social Media Support
Collaborate with the marketing team to support
Assist with preparing and posting content around upcoming events.
Research all Colorado event promotion channels and publish CFAA events across appropriate platforms.
Identify new opportunities to increase CFAA visibility
Help manage various WhatsApp groups related to CFAA including timely posting, and reminders
Ideal Qualifications
Essential:
Strong written and verbal communication skills.
Strong organizational skills and attention to detail.
Self-directed, reliable, and able to manage recurring and time-sensitive tasks.
Nice to have
Experience with WordPress and QuickBooks Online.
Comfort with social media
Making images, flyers,docs from Canva.com
Expected Time Commitment
~20 hours per week, depending on event activity (Event weeks may require slightly more time for coordination.)
