MISSION OF THE ROLE
Your mission is to turn incoming leads, DMs, phone calls, and inquiries into booked consultations for treatments such as Botox, fillers, facials, laser, IV drips, weight loss, and more.
Your focus is speed, clarity, empathy, and converting conversations into appointments.

CORE RESPONSIBILITIES
1. Lead Response (Critical Role)
• Respond to all new leads within seconds/minutes
(phone, SMS, IG, FB, website,
• Use structured scripts to ensure consistency
• Maintain a warm, professional tone at all times
2. Lead Qualification
• Ask correct questions to determine:
? Treatment interest
? Budget
? Timeline
? Readiness
• Identify good candidates vs. price shoppers
• Move serious leads toward consultation booking
3. Appointment Setting
• Book consultations directly in the med spa calendar
• Offer available times, confirm details, and send reminders
• Ensure the patient understands the process and what to expect
4. Follow-Up & Nurture
• Follow up with leads who didn’t respond
• Send educational messages when appropriate
• Nurture warm leads until they are ready to book
• Maintain ongoing communication with potential patients
5. Reduce No-Shows
• Send reminders 24 hours / 6 hours / 1 hour before
• Reconfirm attendance
• Offer easy rescheduling
• Track no-show reasons and improve future bookings
6. Reactivate Past Leads
• Monitor old inquiries
• Send reactivation messages to people who didn’t book
• Bring past patients back for promos or seasonal campaigns
7. Pipeline Management
• Keep CRM organized and updated
• Tag leads correctly (hot, warm, cold)
• Track conversations and booking progress
• Deliver daily updates to management

WHAT SUCCESS LOOKS LIKE
A successful Med Spa Setter consistently:
• Books 10–20+ consultations per week
• Maintains high show-up rates (80%+)
• Responds to leads within under 2 minutes
• Keeps pipeline organized and clean
• Follows up daily without dropping leads
• Creates a seamless experience for patients

IDEAL CANDIDATE PROFILE
We are looking for someone who is:
• Friendly, warm, and great with communication
• Fast at responding
• Organized with strong attention to detail
• Confident and persuasive without being pushy
• Experienced in customer service, sales, or medical aesthetics
• Comfortable with IG DMs, SMS, and phone conversations
• Able to work during peak hours
• Coachable and able to follow scripts
• Passionate about beauty + aesthetics
Bonus if they have:
• Experience working in a med spa
• Knowledge of treatments (Botox, fillers, laser, etc.)
• Experience booking appointments
• Familiarity with GoHighLevel or other CRMs
