Role Overview: Sales & Client Onboarding Assistant
You will be the friendly, organized, follow-up superstar who keeps our sales calendar full and our clients feeling supported. You will focus on lead follow-up, booking consultations, and making sure every new client is welcomed and onboarded smoothly.
Key Responsibilities
Lead Follow-Up and Scheduling
Follow up with inbound leads by phone, email, and text.
Qualify leads using a simple process and book calls on the calendar.
Send appointment confirmations and reminders.
Monitor client confirmations and follow up with anyone who has not confirmed.
Make reminder calls and reschedule no-shows.


After-Call Follow-Up and Admin Support
Send simple wrap-up emails after calls with next steps and links.
Ensure contracts and invoices have been sent to clients.
Follow up to make sure contracts are signed and invoices are paid.
Track all communication and status updates inside the CRM.


Client Onboarding and Welcome
Send welcome emails to new clients.
Send onboarding forms and documentation, and ensure everything is completed.
Assist clients with basic questions about how to complete forms or submit documents.


Make sure all required information has been collected and recorded in the system so the legal team can move forward.


Required Skills
Great at talking to people, especially on the phone, and able to build rapport quickly.
Kind, empathetic, and professional when speaking with clients who may be stressed or anxious about immigration.
Amazing team player and willing to work hard for team goals as well as individual goals.
Bring a fun, positive attitude to our meetings and your daily work.
Detail-oriented and able to keep accurate notes and follow clear processes.
Comfortable working in a CRM and keeping all lead and client information up to date.
Highly dependable. This is a tight-knit team, and everyone has to pull their weight.
Able to consistently hit follow-up and booking goals.
Comfortable making a high volume of calls each week and handling both warm and cold outreach.


Hours
You will need to make calls during appropriate US business hours.
This is a part-time role, approximately 20 hours per week.
Some evening work may be required to reach clients at convenient times.


Equipment Needed
Computer or laptop.
Reliable high-speed internet.
Phone or headset suitable for regular calling.
We will provide a US-based phone number and text service.
