About the Role
We are a New York–based residential architecture and interior design studio seeking a highly organized Purchasing Agent to manage FF&E procurement, vendor communication, logistics, and warehouse coordination. You will support the design team by ensuring all furniture, fixtures, finishes, lighting, and materials are ordered accurately, tracked properly, and delivered on time.
This role is detail-driven and process-oriented, ideal for someone who enjoys organization, follow-through, and operational systems.

Responsibilities
• Request quotes, lead times, samples, and stock confirmations
• Create and issue purchase orders with accurate specs
• Review vendor acknowledgements (SKU, finish, size, COM/COL, notes)
• Track all orders from purchase ? production ? freight ? warehouse receiving
• Coordinate shipping, freight, COIs, white-glove delivery, and warehouse intake
• Log condition reports; manage damages, claims, returns, or replacements
• Maintain procurement trackers and update weekly status reports
• Communicate delays, risks, and vendor updates to the design team
• Work closely with warehouse (Reserve) for receiving, storage, and installation planning

Requirements
• 2+ years experience in purchasing, procurement, logistics, or admin coordination
• Strong English communication skills
• Excellent attention to detail and accuracy
• Experience working with vendors and managing follow-ups
• Ability to track multiple orders and deadlines
• Strong spreadsheet skills (Google Sheets or Excel)
• Ability to work independently with strong judgement
Preferred (not required):
• Experience in interior design, architecture, FF&E, furnishings, or home goods
• Familiarity with COM/COL, finishes, and product specifications
• Experience with inventory, warehouse coordination, or white-glove delivery
• Experience using Notion, Programa, or similar tools

How You’ll Work
You will handle all procurement tasks—quotes, purchase orders, tracking, logistics, warehouse coordination, and weekly reporting. You’ll work closely with the design team to ensure accuracy, communicate early about delays or risks, and provide a smooth procurement workflow from order to installation.
