Role Overview
We are seeking a highly organized and detail-driven Onboarding Specialist to support our caregiver onboarding and compliance processes. This role ensures every new caregiver is properly onboarded, credentialed, trained, and fully ready for client assignment. You will coordinate documents, manage system access, track training completion, and maintain a smooth, professional onboarding experience from start to finish.
This position requires someone who is dependable, systems-oriented, and able to manage multiple onboarding workflows with accuracy and urgency.
Key Responsibilities
Oversee the full onboarding process for caregiver hires.
Collect, review, and verify all required documents (IDs, credentials, background checks, health records, certifications, etc.).
Ensure accuracy and completeness of all onboarding files before activation.
Set up and manage caregiver accounts across all company systems and platforms.
Maintain and manage the training portal; monitor progress and make sure all required courses are completed on time.
Follow up consistently with caregivers on missing documents, incomplete training, or pending requirements.
Prepare and send official offer letters, welcome packets, termination letters, and other HR-related communications.
Maintain organized digital records and trackers for all caregivers.
Coordinate with internal departments (HR, scheduling, QA) to ensure smooth workflow.
Maintain confidentiality and compliance with company policies and state regulations.
Qualifications
Strong English communication skills (written and verbal).
Exceptional organization and attention to detail.
Experience with HR onboarding, admin support, compliance, or virtual assistance preferred.
Ability to manage multiple tasks and follow structured processes.
Comfortable working with digital systems, training platforms, and cloud-based tools.
Fast learner with a proactive, responsible, and reliable work ethic.
Stable internet connection and quiet working environment.
Preferred Experience (Not Required but a Plus)
HR or healthcare administrative experience.
Familiarity with onboarding workflows, HR documents, or credentialing.
Experience using project management tools, TRELLO, Slack, Bamboo HR
