Home-Based Bookkeeper + VA for Fractional CFO Firm (Xero/QuickBooks) – Long-Term

???? Job Description

I run a growing fractional CFO business supporting small business clients with strategy, cashflow and financial clarity. I’m looking for a reliable, detail-oriented offshore bookkeeper + virtual assistant to take over:

* Day-to-day bookkeeping for my clients, and
* Light VA/admin support to help keep my operations smooth

…so I can stay focused on higher-level CFO work and client strategy.

This is a long-term, part-time to potentially full-time role for the right person.

You’ll be working across multiple clients, maintaining clean, accurate books, and supporting me with basic admin so nothing falls through the cracks.

???? Main Responsibilities

Bookkeeping
* Maintain clean, up-to-date books for multiple clients
* Perform weekly bank and credit card reconciliations
* Accurately code/categorise transactions
* Manage accounts payable and accounts receivable: Recording bills, invoices and payments
* Prepare monthly financial reports, including:
* Profit & Loss
* Balance Sheet
* Basic cashflow views or summaries
* Assist with month-end processes (checklists, reconciliations, coding review)
* Help with clean-up work for new clients when needed
* Flag unusual or incorrect transactions for review

VA / Admin Support
* Help keep my email inbox organised
* Tagging/organising emails
* Highlighting important messages
* Drafting simple replies where appropriate (using templates/guidance)
* Client follow-up, such as:
* Polite reminders for documents, information or payments
* Confirming meeting details
* Booking and scheduling calls:
* Using a calendar tool (e.g. Google Calendar/Calendly)
* Coordinating time zones and sending confirmations
* Light admin tasks such as:
* Updating spreadsheets or simple tracking docs
* Organising files in Google Drive
* Simple research or documentation when required

???? You’re a Great Fit If…

* You have 2+ years bookkeeping experience (with Australian clients)
* You are confident using Xer
* You’re comfortable working with multiple client files
* You have strong attention to detail – numbers and spelling both matter to you
* You’re organised and proactive: You like keeping inboxes, tasks and timelines tidy
* You’re comfortable writing clear, polite emails in English
* You can follow existing processes and help improve them over time
* You’re okay with: Switching between bookkeeping and admin tasks during the week
* You’re reliable, responsive and respect confidentiality
* You want a long-term working relationship, not a one-off gig

???? Tools (Preferred)

It’s a plus if you:
* Are proficient with Xero and QuickBooks Online
* Have used:
* Gmail/Outlook
* Google Calendar / Calendly
* Google Drive / Docs / Sheets
* Slack / other chat tools
* Asana
* Ivory (not essential)

? Work Setup

* Location: Home-based (Philippines)
* Hours:
* Start part-time 10–15 hours per week)
* Potential to increase hours as client work grows
* Timezone:
* Flexible, but must be able to respond within the same day on set weekdays
* Some overlap with **AEST (Sydney time)** is preferred for occasional calls / real-time communication
* Type: Long-term, with a 1–2 month trial period
