Let's Begin..

We are seeking a highly organized Executive Assistant who can commit to a dynamic schedule, including occasional availability beyond standard office hours and some weekends.

Flexibility and responsiveness are essential; however, this is not a 24/7 position.

This is a full-time role, not project-based.

Working Hours:

-Standard hours: 10:00 AM – 6:00 PM Dubai time (2:00 PM – 10:00 PM Philippine time)
- As an Executive Assistant / Appointment Setter, schedule may vary slightly depending on client appointments across African countries and the COO. Since our target audience is in African countries, you should be ready and comfortable to adjust to African time zones for meetings.

Monthly pay (NOT WEEKLY)

Imperial Citizenship is seeking a proactive and detail-oriented Executive Assistant with experience in appointment setting and lead generation to support our operations in both Nigeria and Dubai. The ideal candidate will play a key role in driving business development by coordinating client meetings, managing outreach to prospects and assisting in the execution of strategic initiatives. This role requires strong organizational skills, excellent communication abilities and experience in engaging high-value clients in the citizenship and residency by investment industry.

Key Responsibilities:

As Executive Assistant to the COO, your responsibilities will include but are not limited to:

- Support the COO at all times, including during meetings, travel and calls.
- Anticipate the COO’s needs and proactively resolve potential issues.
-Handle confidential and sensitive information with discretion, coordinating with relevant departments as required.
-Manage and prioritize the COO’s calendar, appointments and travel arrangements (if required).
-Organize and manage emails, messages, and calls, responding on behalf of the COO when needed.
- Schedule and coordinate meetings with HNWIs, private bankers, investors, business owners and other key contacts across multiple time zones.
- Arrange and confirm the COO’s meetings during business visits, coordinating with contacts in advance to guarantee all meetings are scheduled and confirmed.
- Adapt to different time zones and provide immediate support whenever the COO is traveling or in meetings.
- Conduct outreach to partners, prospects, and campaign contacts, including direct prospecting.
- Follow up with clients and key contacts to maintain relationships and engagement.
- Use LinkedIn and other platforms to identify and engage high-value prospects and implement strategies to expand the COO’s network.
- Keep the COO’s client records up to date in Pipedrive for both new and existing clients.
- Research and generate leads, prepare client quotations.
- Coordinate with legal, compliance, and finance teams to facilitate the processing of the COO’s clients’ applications.
- Prepare introducer agreements according to the COO’s instructions.
- Conduct research and gather relevant information or data as requested by the COO.
- Support the CEO administratively only when necessary.
- Assist with the onboarding of the COO’s clients and coordinate with the Processing Team to ensure all KYC documentation, invoices, agreements, and any other requirements are properly managed.
- Be available outside regular hours to handle urgent matters as needed.

Expectations:

- Be proactive, knows how to communicate clearly with the COO and act quickly when needed.
- Manage the COO’s calendar, emails and calls effectively.
- Schedule and confir ---------- etings with clients and partners on time.
- Find and qualify leads to support business growth.
- Handle sensitive information professionally and coordinate with internal teams.

Qualifications and Skills:
- Proven experience as an Executive Assistant, Appointment Setter or in Lead Generation.
- Strong communication skills with the ability to interact professionally with executives and clients.
- Highly organized and able to manage multiple tasks, emails and schedules efficiently.
- Proactive and able to take initiative without constant supervision.
- Comfortable with research, lead generation and outreach using LinkedIn or other platforms.
- Ability to handle confidential and sensitive information with discretion.
- Tech-savvy with familiarity in tools like Pipedrive, outlook and scheduling software.
