JOB OVERVIEW

Role: Full-time Marketing VA
Reports to: Founder / Fractional CMO
Direct reports: 1 mid-level marketing specialist (you will help oversee their day-to-day execution)

We are looking for a Marketing VA who can help execute and maintain core growth systems across partnerships, AI visibility, newsletters, and LinkedIn outreach and engagement.

This role can flex based on experience, from a strong junior implementer who follows clear SOPs, up to an intermediate strategist-operator who can help refine processes and take more ownership over outcomes.

KEY RESPONSIBILITIES

Partnerships Strategy and Execution

• Draft and send outreach emails and messages using templates and brand voice, and track responses.
• Coordinate co-marketing activities (guest features, newsletter swaps, podcast guesting, webinars, etc.).
• Maintain a simple partnerships CRM in Google Sheets and/or Airtable (status, dates, links, owners, next steps).
• Track basic performance metrics from partnerships (leads, email subscribers, calls/bookings) and report back weekly.
• Use ChatGPT and Claude to help draft outreach, summaries, and follow-ups, then refine and humanize the copy.

AI Visibility Strategy - Implementation

• Implement our AI Visibility playbook (you will be given clear steps and SOPs).
• Make small, safe tweaks to the website using WordPress and Elementor (updating copy, adding sections, editing metadata, internal linking, etc.).
• Support basic SEO optimization, including:
• On-page optimization (titles, meta descriptions, headers, image alt text)
• Internal links and content structuring
• Update and organize related Google Docs (checklists, logs, and visibility action trackers).
• Use ChatGPT and Claude to speed up drafting while keeping everything on-brand and in natural US English.

Newsletter Hosting and Distribution

• Help manage a newsletter host strategy across email and LinkedIn.
• Turn outlines, transcripts, or voice notes into draft newsletter content in a clear US-style tone.
• Upload and schedule newsletters in:
• Our email platform (for example, Kit)
• LinkedIn newsletters
• Post newsletter content (or repurposed versions) on the WordPress blog, with:
• SEO-friendly titles and meta
• Proper formatting, images, internal links, and tags/categories
• Create simple supporting assets (optional but helpful).
• Pull and summarize performance metrics (opens, clicks, subscriber growth, top-performing posts) for regular reporting.

LinkedIn Outreach and Engagement

• Send connection requests to a clearly defined ICP using provided criteria and lists.
• Conduct light DM outreach using our templates (no aggressive selling), focused on relationship-building and value.
• Comment regularly on specific target accounts and influencer posts (you will be given a list and guidance).
• Schedule approved LinkedIn posts via the relevant tools or platforms.
• Pull and summarize analytics, including:
• Follower growth
• Profile views
• Content reach and engagement
• Use ChatGPT and Claude to help draft posts, comments, and DMs, then refine them to sound natural and human.

You do not need to be an expert in all of these on day one, but you must be comfortable learning quickly.

MUST-HAVE SKILLS AND EXPERIENCE

• Strong written English in a conversational, US-style tone.
• Excellent attention to detail, especially when posting content publicly under the brand.
• Comfortable using AI tools (ChatGPT and Claude) to draft, then improving the output so it sounds genuinely human.
• Able to follow SOPs and checklists and keep systems up to date.
• Organized and reliable with good follow-through. You keep tasks moving and do not drop balls.
• Confident with Google Sheets and Google Docs and basic tracking and reporting.

• WordPress and Elementor publishing and light editing.
• SEO familiarity (on-page SEO, internal linking, basic keyword usage).
• Experience in B2B, tech, data, or AI spaces.
• Prior experience with partnerships, outreach, or co-marketing.
• Comfortable overseeing one junior tea ---------- mber and making sure tasks are completed to standard.

• Clear analytics summaries for partnerships, newsletters, and LinkedIn that help inform next steps.
• AI visibility actions from the playbook implemented reliably and documented in checklists or logs.
• Proven that they can work independently, communicate clearly, and represent the brand with high quality.
