JOB OVERVIEW

Position Overview:

The Finance Manager is responsible for overseeing the financial operations of Amada Senior Care East Bay, ensuring accuracy in payroll, billing, and client financial management. This role plays a critical part in maintaining the agency’s financial health through diligent reporting, compliance oversight, and process optimization. The Finance Manager will prepare key performance and financial reports, manage client deposits, and ensure all client billing and rate structures are accurately maintained in AxisCare.

Key Responsibilities:

Payroll Management
-- Oversee and process biweekly payroll in compliance with company policies and state/federal regulations.
-- Verify caregiver hours, overtime, and mileage through AxisCare or integrated systems.
-- Collaborate with HR and Scheduling to ensure accurate pay calculations and timely corrections.
-- Billing & Client Financial Management
-- Generate and review client invoices through AxisCare and ensure timely and accurate billing.
-- Manage collection of client payments and monitor outstanding balances.
-- Oversee the management of client deposits, including reconciliation, audits, and timely refunds as applicable.
-- Maintain and update client service rates in AxisCare according to approved service agreements.
-- Coordinate with clients, responsible parties, and payers to resolve billing discrepancies or questions.

Financial Reporting & KPI Tracking
-- Extract and compile financial and operational reports from AxisCare and other systems to track Key Performance Indicators (KPIs).
-- Prepare monthly and quarterly financial summaries, including Profit & Loss statements, revenue trends, and cost analyses.
-- Present financial reports and insights to leadership for strategic decision-making.
-- Compliance & Audit
-- Conduct regular audits of client deposits, billing accuracy, and rate structures.
-- Ensure compliance with all state and federal regulations regarding financial transactions and record-keeping.
-- Maintain confidentiality and data integrity for all financial information.

Contracts & Documentation
-- Create, review, and maintain Client Service Agreements, ensuring accuracy of terms, rates, and service details.
-- Support operational teams in implementing updates to financial terms or service changes.
-- Process Improvement
-- Identify opportunities for automation and efficiency in billing and reporting processes.
-- Partner with the operations team to ensure alignment between care delivery, billing, and payroll.

Qualifications:
-- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (Master’s degree preferred).
-- Minimum 1–2 years of experience in financial management, preferably within healthcare or home care services.
-- Strong understanding of payroll, billing systems, and client financial management.
-- Proficiency in AxisCare, QuickBooks, or similar home care and accounting platforms.
-- Advanced Excel and data analysis skills.
-- Excellent organizational skills, attention to detail, and problem-solving ability.
-- Strong communication and interpersonal skills for client and team collaboration.
