JOB OVERVIEW

Role Overview
The Backend Funding Virtual Assistant will manage all internal processes behind client funding operations — from organizing applications to tracking approvals and updating the funding dashboard.
They will not interact directly with clients but will ensure that every backend step (data entry, lender submission, follow-up tracking, and reporting) is complete and accurate.
This person will act as the engine room of the funding department — supporting the front-end team to ensure that all backend systems and documentation run smoothly.

Key Responsibilities
1. Funding Infrastructure & Automation
Build, maintain, and update the internal funding pipelines in GoHighLevel or Notion.
Tag clients who are ready for “Funding Round 1” and trigger internal tasks or automations.
Upload and organize all funding-related documents in shared drives (Google Drive / Notion).
Maintain templates for prequalification, lender tracking, and offer sheets.
2. Lender Coordination (Backend Only)
Submit applications to banks and lenders using pre-approved templates.
Update tracking sheets with credit limits, approvals, and denials.
Follow up on pending applications by email (using team inbox only — no direct client contact).
3. Data & Reporting
Maintain a Funding Tracker Sheet with key metrics:
Client Name
Funding Stage (Round 1, Round 2, etc.)
Banks Applied
Amount Approved / Funded
Notes & Follow-ups
Generate weekly reports for management summarizing:
Total clients funded
Total dollar volume funded
Average turnaround time
4. Internal Communication
Coordinate with Credit Department to confirm client readiness for funding.
Notify Client Success Manager once funds have been received for each client.
Communicate progress only through internal systems — no direct client calls, texts, or emails.
