About the Company
CareLytix LLC is a U.S.-based IT consulting firm (S-Corporation) specializing in software development and technology consulting services. Our company has a small U.S. team with a few W-2 employees in Maryland, several U.S.-based consultants, and around 20 offshore developers.
We are looking for a skilled and reliable Accountant based in the Philippines to manage daily accounting operations, payroll, and financial reporting using QuickBooks Desktop Pro 2024. The role focuses on bookkeeping, payroll processing, vendor payments, and preparation of periodic financial reports — all in compliance with U.S. accounting standards.
Key Responsibilities
1. Accounting & Bookkeeping (QuickBooks Desktop Pro 2024)
• Maintain and update the company’s financial records in QuickBooks Desktop Pro 2024.
• Record and categorize all transactions including income, expenses, payroll, and vendor payments.
• Reconcile all bank accounts, credit cards, and payment transfers.
• Manage and track fixed assets such as laptops, computers, phones, and office equipment.
• Prepare accurate monthly, quarterly, and annual financial reports (Profit & Loss, Balance Sheet, Cash Flow).
• Ensure proper documentation and filing of all financial records.
2. Payroll & Employee Administration
• Process biweekly or monthly payroll for W-2 employees (currently all in Maryland).
• Calculate and record federal and state payroll taxes in QuickBooks.
• Handle 401(k) deductions and employer contributions for eligible employees.
• Maintain accurate employee payroll records and assist with year-end W-2 processing.
• Ensure compliance with Maryland payroll regulations and deadlines.
3. Consultant & Vendor Payments
• Manage payments to U.S.-based consultants and vendors.
• Record and reconcile offshore consultant payments (paid via direct bank transfers).
• Maintain accurate records of payments for both domestic and offshore contractors.
• Track and report 1099-eligible payments to U.S.-based consultants for annual filings.
4. Financial Reporting & Reconciliation
• Generate periodic reports for management review, including profitability and project-based income tracking.
• Reconcile and verify client payments against invoices and timesheets.
• Assist with budgeting, forecasting, and cost control analysis.
• Monitor cash flow and prepare summaries for management decision-making.
5. Compliance & Coordination
• Prepare data and support documentation for quarterly and annual tax filings (to be completed by the U.S. Tax Specialist or CPA).
• Ensure accounting records are consistent with IRS and GAAP standards.
• Assist in preparing forms and reports required by state and federal agencies (e.g., W-2s, 1099s).
• Coordinate closely with the U.S. Tax Specialist to ensure accuracy between financial books and filed returns.
• Communicate regularly with the company owner regarding financial health and compliance matters.
Qualifications
• Bachelor’s degree in Accounting, Finance, or related field.
• 3+ years of experience in bookkeeping or accounting for U.S.-based companies.
• Strong hands-on experience with QuickBooks Desktop Pro (2024 preferred).
• Solid understanding of U.S. accounting practices, payroll processes, and financial reporting.
• Experience handling multi-currency or offshore consultant payments is a plus.
• Excellent English communication and reporting skills.
• High attention to detail, accuracy, and organizational skills.
• Ability to work independently with minimal supervision.
Preferred Skills
• Experience with Maryland payroll or state-specific filing procedures.
• Familiarity with S-Corporation structures and U.S. payroll reporting (W-2, 1099).
• Strong Excel and reconciliation skills.
• Prior experience working with IT consulting or service-based businesses.
• Knowledge of GAAP and internal control practices.
