JOB OVERVIEW

About the Role

Adventis is a U.S.-based education company that trains university students in financial modeling and helps them secure internships and jobs in finance. We’re looking for a detail-oriented, highly organized Virtual Assistant to support our club operations, internship database, and help desk communications.

This is a long-term, full-time opportunity for someone who enjoys structured work, communicating clearly, and keeping systems running smoothly.

Key Responsibilities:
Club Data Processing & Database Enrollment (3–4 hrs/week)
- Receive student club data and review for completeness and accuracy
- Verify current status of clubs and student officers
- Ensure students are enrolled in the internship database
- Tag and categorize data in our systems (Excel / Notion / ClickUp)
- Follow clearly defined procedures and send weekly summaries of completed actions

Help Desk Operations (5–10 hrs/week)
- Review and respond to questions from the help desk email inbox
- Use pre-written FAQ responses for common inquiries
- Escalate more complex issues to the Adventis team

Communication & Project Coordination
- Join virtual meetings to take notes and track action items
- Draft follow-up emails summarizing key decisions and next steps
- Update task lists and maintain project documentation in ClickUp, Coda, or Notion
- Coordinate small projects and ensure follow-through on deliverables

Internship Database Program Support
- Perform data-quality checks and ensure database accuracy
- Prepare email updates to students based on templates and specific criteria
- Track program metrics and assist with administrative follow-ups

Invoicing & Accounts Payable
- Support vendor and contractor (1099) administration
- Prepare and send confirmatory invoices
- Track payments and assist with monthly reconciliations

Tools You’ll Use

- Slack (team communication)
- Desk 365 (help desk)
- Coda (data tracking and documentation)

We will provide training and support for all systems and processes. Though some level of experience with office administration, Microsoft office, and one or more of the other tools is required.

Compensation & Hours
- Full-time (40 hours/week)
- Must have overlap with 8:00 AM – 6:00 PM U.S. Central Time
- $10/hour all-in (paid bi-weekly via Wise or other method)
- Long-term position with performance-based pay increases
