About the Role:
As a Utilities Accounting Specialist, you will play a key role in overseeing and daily management of utility accounts for all properties, ensuring accuracy, compliance, and operational efficiency. This position is responsible for account creation, maintenance, and closure, along with monitoring billing status and resolving any discrepancies or service issues.
In addition to handling billing and data entry, you’ll track cost trends, support energy conservation efforts, and maintain communication with vendors and utility providers. You will also be responsible for tracking tenant utility invoices, ensuring timely payments, and following up on any unpaid or disputed charges. The role requires strong attention to detail, analytical skills, and the ability to support company-wide cost optimization and process standardization initiatives.
Key Responsibilities
1. Account Management & Monitoring
Responsible for creating, maintaining, and closing accounts for water, electricity, gas, waste disposal, etc. for each housing source;
Regularly check account status and promptly handle exceptions (such as arrears, power outage, billing errors, etc.);
Maintain the accuracy and update of account info, ensuring clear bill attribution and well-defined responsibilities.
2. Billing & Cost Control
Collect and organize monthly bills to ensure timely and accurate bill entry;
Track the changing trends of various expenses and propose suggestions for cost optimization and energy conservation;
3. Data Analysis & Strategy Support
Analyze energy consumption trends through bill and usage data analysis;
Provide analysis reports and recommendations on energy conservation, emission reduction, and cost control;
Propose response plans and risk warnings regarding policy changes in water and electricity fees in different regions.
4. Vendor & Policy Coordination
Maintain good communication with Utility Providers to ensure service continuity;
Assist in formulating and optimizing the company's internal Utility processes and standards.
5. Other Related Tasks (Other Related Tasks)
Supports account and expense management related to smart home, YouTube TV, etc.;
Complete other tasks assigned by the department head.
Preferred Education and Experience:
- A degree in Accounting, Business Administration or related field (or relavent experience).
- 1 year experience in utilities management, billing, accounting or administrative support is preferred.
- Familiarity with property management or facilities management is a plus.
- Great communications skills
- Fluency in English
Technical Skills:
- Data Entry
- Proficiency in MS Excel or Google Sheets; ability to organize, analyze, and summarize data.
- Basic understanding of utility billing (electricity, water, gas, waste services).
- Invoice reconciliation processes
