JOB OVERVIEW

We’re looking for a highly organized, tech-savvy Virtual Assistant to manage our digital marketing and lead-generation system for Cashflow Will™, Mortgage, and Estate Planning campaigns.

You’ll be responsible for running our Facebook & Google ad funnels, managing incoming leads, maintaining CRM accuracy, and coordinating with team leaders to ensure every lead turns into an appointment.

Key Responsibilities

1 Lead Generation & Campaign Management
• Manage and monitor Facebook & Google Ads (using pre-approved creatives and copy).
• Track ad performance (CTR, cost per lead, conversion).
• Coordinate with creative team (or Canva templates) to refresh ad images weekly.
• Split-test headlines, audiences, and CTAs to improve ROI.
• Report daily ad spend vs. leads generated.

2 CRM & Lead Tracking
• Input and organize new leads into CRM (Google Sheets / Airtable).
• Tag leads by campaign: Cashflow Will™, Mortgage, Will Writing, Roadshow, Event.
• Update lead status: Contacted ? Meeting Fixed ? Met ? Closed.
• Generate weekly reports for management & team leaders.

3 Appointment Coordination
• Assign new leads to consultants based on tier and availability.
• Send WhatsApp or SMS reminders to confirm appointments.
• Follow up on uncontacted leads (3-day, 7-day, 14-day sequence).
• Track show-up rates and flag non-responsive leads.

4 Content Distribution & Nurture
• Upload ebooks / pre-frame decks to landing pages and autoresponders.
• Manage WhatsApp broadcast lists for nurturing (non-spammy updates).
• Schedule drip messages, testimonials, or short educational tips.
• Build engagement workflows (ex: ebook ? consult ? review).

5 Event & Referral Campaign Support
• Create simple registration forms and landing pages for events.
• Track attendees, follow-ups, and “bring-a-friend” referrals.
• Send post-event thank-you + follow-up messages.

6 Reporting & Optimisation
• Provide weekly analytics dashboard: leads, cost per lead, appointments booked, closes.
• Recommend optimisations based on performance data.
• Prepare monthly summary for management review
