About
We’re looking for a Virtual Assistant based in the Philippines to work directly with our Head of Practice. This role is perfect for someone highly organised, proactive, and great at communication — someone who loves making things run smoothly behind the scenes.
What You’ll Do
You’ll support the Head of Practice in managing their day, keeping things organised, and ensuring clients receive a seamless experience. Your work will cover a mix of admin, scheduling, and client coordination tasks.
• Managing the Head of Practice’s calendar, meetings, and bookings.
• Scheduling client appointments and setting up Google Meet links.
• Preparing meeting agendas, summaries, and follow-up
• Attending client meetings online, taking clear notes, and helping with handovers.
• Creating and sending proposals, invoices and receipts to clients.
• Managing subscriptions and renewing tools/software accounts.

You’re a Great Fit If You:
• Have 3+ years of experience as a Virtual Assistant, Executive Assistant, or Admin Officer.
• Speak and write excellent English — clear, polite, and professional.
• Are tech-savvy and comfortable with:
- Google Workspace (Docs, Sheets, Calendar, Meet, Drive)
- Invoicing tools (Xero, QuickBooks, or similar)
- CRMs or project management tools (ClickUp, Trello, or similar)
• Are highly organised, detail-oriented, and reliable.
• Can handle confidential information with care.
• Are proactive — you notice what needs to be done and make it happen.
Schedule & Work Setup
• Full-time (40 hours/week)
• Work from home — must have a quiet workspace and reliable internet.
• Work during Australian hours (approx. 7am–4pm Manila time).
