Part-Time Bookkeeper (Zoho Books) — Monthly Categorization & Balance Check
Role Type: Very part-time, ongoing (monthly)
Hours: ~2 hours per month (first month may take longer for training and catch-up)
Location: Remote (PH-based)
Tools: Zoho Books (restricted role), Google Sheets
About the Role
We’re looking for a precise, methodical bookkeeper to log in once per month and categorize transactions in Zoho Books following a specific order of operations.
You’ll work from closing balances provided in a Google Sheet — no access to bank portals or statements.
Your main goal each month: accurate categorization and confirmation that each account’s balance matches the provided closing figures.
Note: The first month will take longer due to training and catching up on older transactions, but once you have learned the system is should not take very long each month.
Once everything is current, the monthly workload will typically be around 1-2 hours.
If you do excellent work, there will be opportunities for additional assistant tasks in the future.
Workflow Order (follow exactly)
Categorize PayPal first — this often creates matching transactions for credit cards automatically.
Categorize credit card accounts second — these may create matches for the bank.
Categorize and confirm bank accounts last, ensuring all balances match the provided figures.
Following this order keeps inter-account transfers synced and prevents duplicates or missing entries.
Responsibilities
Categorize new transactions in Zoho Books each month in the correct sequence (PayPal ? credit cards ? bank).
Never adjust, split, delete, or create transactions.
Review balances for accuracy and confirm they match the closing balances in the Google Sheet.
Report any mismatches, missing transactions, or discrepancies immediately.
Leave short notes each month confirming what was completed and any issues found.
Requirements
Minimum 1 year of experience using Zoho Books for categorization and reconciliation.
Strong understanding of inter-account matching (PayPal, credit cards, bank).
Can follow instructions precisely and work independently.
Must complete all work by the 5th business day of each month.
Nice to Have
Experience with ecommerce bookkeeping or payment processor payouts.
Comfortable using Google Sheets for reporting or notes.
Working Setup
Access limited to Zoho Books categorization only.
You’ll receive a Google Sheet each month with verified closing balances.
No portal access and no direct transaction edits — any issues are reported, not corrected.
