About the Role
The Executive Assistant’s responsibilities include handling administrative tasks, project management, process building, managing calendars, meeting preparations, setting follow-up tasks, making travel arrangements, event planning, and more.
The highest priority in this role is to remove administrative and delivery-related tasks from the CEO’s plate — allowing him to focus on sales, marketing, and leadership.
You’ll be the CEO’s right hand, ensuring priorities are met, operations are streamlined, and communication between departments flows efficiently.
Key Responsibilities
Manage and organize the CEO’s calendar, meetings, and priorities including family and personal schedules
Prepare meeting agendas, notes, and follow-ups for leadership and client meetings
Track deliverables and ensure accountability across multiple departments (SEO, Content, Design, Dev, LSA)
Maintain communication between the CEO, clients, and internal teams
Handle confidential information with integrity and professionalism
Assist with documentation, reports, and special projects as assigned
Make travel arrangements and assist with logistics for events or client visits
Conduct daily sync meetings with the CEO to review priorities, calendar, and next steps
Assign and monitor tasks in ClickUp for the CEO and team
Build and document Playbooks & SOPs (via Loom videos)
Qualifications
At least 3+ years of experience as an Executive Assistant or in a similar role (preferably in a marketing or digital agency)
Excellent communication and organizational skills
Strong attention to detail and ability to multitask under pressure
Proficient in tools like ClickUp, Google Workspace, Slack, Zoom, and Hubstaff
Proactive, dependable, and able to anticipate the needs of the CEO and leadership team
Comfortable working in a fast-paced, fully remote environment
Can work full-time between 9am to 7pm MST
