JOB OVERVIEW

We are a marketing agency specialising in lead generation and digital growth for builders and renovators across Victoria.

We’re growing fast and need a sharp, reliable Virtual Assistant who can help us keep clients happy, campaigns running smoothly, and systems organised.

This isn’t a basic “data entry” VA role, you’ll be hands-on with real client work across Meta ads, GoHighLevel, reporting, and creative support.

Skills You’ll Need

- Strong organisational skills — you notice details and nothing slips through the cracks.

- Confident using GoHighLevel

- Comfortable inside Meta Ads Manager (basic setup & structure understanding).

- Canva + CapCut for basic creative work.

- Notion & Google Sheets experience.

- Excellent written English (Australian spelling).

- Proactive communication — you flag problems before they become issues.

Bonus (not required):

- Experience in marketing agencies.

What You’ll Do (Day-to-Day Tasks)

Client & Project Support
- Manage onboarding: chase logins, gather brand assets, complete our onboarding questionnaire, and organise files/folders neatly.
- Turn Loom walkthroughs into step-by-step SOPs in Notion.
- Coordinate contractors (videographers, editors, copywriters): send briefs, confirm deadlines, and follow up.

CRM & Automations (GoHighLevel)
- Set up sub-accounts, pipelines, calendars, triggers, tags, SMS/email templates, reports, and appointment reminders.
- Configure and test automations/workflows to make sure leads are followed up quickly.

Campaigns & Reporting
- Build campaign structures in Meta Ads Manager (audiences, ad sets, naming conventions) for review before launch.
- Run daily ad health checks and flag issues like overspend, disapprovals, broken forms, or CPL spikes.
- Prepare weekly reports across all clients with clear, tidy summaries.

Creative & Content Support
- Create simple graphics and reels using Canva and CapCut (basic editing, resizing, subtitles).
- Schedule content across social platforms and maintain client content calendars.
- Run social growth tasks (liking, following, commenting) to help clients grow engagement.

Research & Insights
- Conduct competitor research on ads, hooks, offers, and positioning.
- Maintain running documents of market insights to inform new campaigns.
