Job Title: Short Term Rental VA w/ Airbnb Experience
Type: Full-Time (50–60 hours per week)
Location: Remote

Panorama Suites is a fast-growing short-term rental and property management company based in Downtown Toronto. We specialize in providing exceptional guest experiences and maintaining top-tier property operations. As we continue to expand, we’re seeking a highly organized, detail-oriented, and proactive Guest Relations & Operations Coordinator to join our team.

In this role, you’ll oversee guest communications, scheduling, and daily operational coordination across multiple booking platforms. You’ll ensure guests enjoy a seamless stay from booking to check-out while keeping internal operations efficient and well-coordinated.

Key Responsibilities

1. Guest Communication Management

Monitor and promptly respond to guest inquiries via Hostify, Expedia, and Airbnb.

Handle all communication with professionalism and excellent customer service.

2. Call, Message, and Email Handling

Manage guest and team communication through Dialpad, WhatsApp, and email.

Resolve issues efficiently to ensure guest satisfaction.

3. Cleaning & Turnover Scheduling

Organize and schedule cleaning services based on check-in/check-out timelines.

Coordinate with cleaning staff to ensure all units are guest-ready.

4. Guest Check-In Coordination

Send check-in instructions and property details prior to arrival.

Confirm that guests have all required information for a smooth check-in experience.

5. Pre-Check-In Documentation

Contact guests to complete ID verification, security deposits, and other pre-check-in requirements.

6. Security Deposit Management

Process and release guest security deposits post-check-out, following inspection protocols.

7. Cleaner Time Tracking & Quality Control

Track and verify cleaning staff time logs.

Ensure completion of cleaning tasks and report any issues or discrepancies.

8. Airbnb Claim & I ---------- Management

File and manage Airbnb claims for damages, missing items, or other related issues.

9. Social Media & Marketing Support

Manage and update social media accounts and property listings.

Support online marketing campaigns and assist with basic website updates.

Qualifications

Previous experience in hospitality, property management, or customer service.

Strong organizational, multitasking, and communication skills.

Proficient in online tools such as WhatsApp, Dialpad, Gmail, and Hostify.

Familiarity with Airbnb, Expedia, and other booking platforms.

Experience in social media management or digital marketing is an asset.

Experience with accounting, QuickBooks, or bookkeeping preferred.

Short-term rental arbitrage experience is a strong advantage.

Excellent written and verbal English communication skills.
