Job Title: Remote Tax Administration & Client Support Specialist
Location: Remote (Philippines)

We are a well-established Los Angeles–based CPA and wealth management firm providing tax, accounting, and advisory services to high-net-worth individuals, families, and businesses across the U.S. We are seeking a skilled, detail-oriented professional in the Philippines to join our team remotely.
This position plays a vital role in supporting our U.S. tax preparers and ensuring the smooth, accurate, and timely assembly, signature, and filing of client tax returns, as well as providing general accounting and administrative assistance to the team.
Key Responsibilities:
Tax Return Assembly & Filing Support
Receive finalized tax return PDFs from preparers, review for completeness, and assemble for client delivery.
Process documents through DocuSign for client signatures and manage the return of signed forms.
Coordinate with preparers to ensure all signed returns are properly filed electronically or mailed as required.
Maintain organized digital filing systems for all client returns and related correspondence.
Administrative & Tax Preparer Support
Schedule client meetings and coordinate calendars for the tax preparation team.
Handle inbound client phone calls, messages, and follow-ups professionally and efficiently.
Support preparers with administrative tasks such as:
Waiting on hold with taxing authorities (IRS, state agencies) to resolve basic account inquiries.
Filing, scanning, and organizing client records and documentation.
Managing digital workpapers and secure document sharing through firm portals.
Accounting & Workpaper Assistance
Assist with basic accounting and general ledger cleanup tasks, including data entry, reconciliations, and trial balance preparation under supervision.
Be familiar with tax workpapers to help collect, organize, and verify supporting documentation from clients and third-party sources (e.g., banks, investment advisors, payroll providers).
Coordinate with preparers to ensure workpapers are complete and properly documented before final review and filing.
Collaboration & Communication
Communicate daily with U.S.-based preparers and administrative staff via
Track progress of client deliverables and proactively identify items needing follow-up or completion.
Uphold the firm’s standards of confidentiality, accuracy, and professionalism in all client interactions.
Qualifications
Experience: Minimum 2 years of experience in U.S. tax preparation, processing, or administrative support within a CPA or accounting firm.
Technical Skills:
Strong working knowledge of U.S. tax return forms (individual, partnership, and corporate).
Experience with general ledger accounting and basic bookkeeping principles.
Familiarity with tax workpapers and supporting schedules.
Proficiency with DocuSign, Adobe Acrobat, Microsoft Office, and cloud-based document management systems.
Experience with tax or accounting software (e.g., Lacerte, ProSeries, QuickBooks, UltraTax, or similar) preferred.
Communication Skills: Excellent written and spoken English; able to interact professionally with U.S.-based staff and clients.
Organization: Highly detail-oriented, reliable, and able to manage multiple projects simultaneously under tight deadlines.
Schedule: Must be available to work Los Angeles business hours (Pacific Time).
