JOB OVERVIEW

Job Overview:
As a Full-Time Virtual Transaction Coordinator Assistant, you'll be the remote backbone of our real estate operations, managing the end-to-end process of property transactions from contract to closing. This virtual role requires strong organizational skills, excellent communication, and a keen eye for detail to handle multiple deals simultaneously. You'll work closely with internal teams, buyers, sellers, title companies, and attorneys via digital tools to keep everything on track and compliant—all from the comfort of your own workspace.

Key Responsibilities:
Contract Management: Draft, review, and track Purchase & Sale Agreements, addenda, and termination documents. Ensure all signatures, dates, and key terms (e.g., price, earnest money deposit/EMD, closing dates, contingencies) are accurate and complete. Maintain version control and distribute updates to title companies, buyers, and sellers.

Title Coordination: Order title searches, commitments, and surveys. Review title documents for liens, easements, judgments, or ownership discrepancies. Follow up with title companies and attorneys to resolve issues and maintain the closing timeline.
Closing Coordination: Schedule and coordinate closings with sellers, buyers, notaries, and title companies. Track earnest money deposits (EMD) and confirm wire transfers. Review final HUD/CD statements and ensure all signatures and funds are received prior to recording.

File & Document Management: Maintain organized digital files in our CRM system and Google Drive. Label and store documents for each deal (e.g., contracts, title docs, surveys, marketing photos). Ensure all compliance and audit requirements are met post-closing.

Communication Liaison: Serve as the primary point of contact between sellers, buyers, title companies, attorneys, and internal tea ---------- mbers. Send follow-up emails, updates, and reminders to keep all parties aligned and informed.
Transaction Tracking & Reporting: Monitor all deals under contract, including acquisitions, resales, and pending closings. Provide management with status reports on deal progress, EMD dates, closing timelines, and title issues. Manage our pipeline sheet and ensure all checklists are completed.

Due Diligence: Coordinate property inspections, surveys, or engineering reports as needed. Identify potential issues early (e.g., zoning restrictions, access problems, back taxes, or permit delays) using tools like Parcel Detectives, and escalate them for resolution.

Qualifications and Skills:
Proven experience (1-3 years preferred) as a Transaction Coordinator, Real Estate Assistant, or similar role in real estate, title, or escrow services.

Strong knowledge of real estate transaction processes, including contracts, title work, and closings. Familiarity with tools like CRM software (e.g., Dotloop, SkySlope), Google Drive, and Parcel Detectives is a plus.

Excellent organizational and multitasking skills, with the ability to manage high-volume workloads and meet deadlines.
Superior attention to detail and problem-solving abilities to spot and resolve issues proactively.

Proficient in communication (written and verbal) with a customer-service mindset.

Proficiency in Microsoft Office Suite, Google Workspace, and real estate-specific software.

Ability to work independently in a fast-paced environment while collaborating with a team.
