We are seeking an experienced and motivated Client Services Officer / Administrator to support our accountants and financial advisers in delivering a seamless client experience.

About the Role

As a Client Services Officer / Administrator, you will be the first point of contact for our clients and play a key role in ensuring smooth day-to-day operations of the practice. You’ll work closely with accountants and financial advisers to manage client communications, documentation, compliance processes, and administrative support.


Key Responsibilities

• Provide high-quality client service via phone, email, and in person.
• Manage client onboarding, file preparation, and maintenance of client records (Xero Practice Manager, ASIC, ATO portals, etc.).
• Assist with preparation and lodgement of tax returns, BAS, and financial planning documents.
• Schedule appointments and manage the advisers’ and accountants’ calendars.
• Prepare client correspondence, engagement letters, and reports.
• Process new applications, rollovers, insurance, and investment documentation for financial planning clients.
• Monitor and follow up outstanding information and compliance tasks.
• Handle general office administration including filing, scanning, and office supplies.
• Support the implementation of process improvements and client service initiatives
• Accounts Receivable function

Skills & Experience

• Previous experience in an accounting, bookkeeping, or financial planning office (preferred).
• Strong understanding of client service and administrative workflows in a professional environment.
• Proficiency in Microsoft Office Suite; experience with Xero Practice Manager, Adviser Logic/DASH or similar software v
highly regarded.
• Excellent written and verbal communication skills.
• High attention to detail, organisation, and confidentiality.
• Ability to manage multiple priorities and work independently in a fast-paced environment.

Qualifications

• Certificate or Diploma in Business Administration, Accounting, or similar (preferred but not essential).
• Previous experience in a professional services firm will be highly regarded.
