JOB OVERVIEW

I’m a Licensed Professional Counselor running a small holistic and trauma-informed private practice, Transcmend. I’m looking for a reliable and detail-oriented Virtual Assistant to help with insurance billing and light social media support once a week.

The main focus of this role is billing and administrative work. You’ll be submitting, tracking, and reconciling insurance claims in SimplePractice, verifying client eligibility for major insurers like Aetna and Optum, posting payments, managing ERAs and EOBs, and resubmitting denied claims when needed. You’ll also maintain a simple billing tracker that summarizes billed, paid, and pending sessions, and send me a short weekly summary email with updates and totals.

The creative side of the role involves using Canva to design simple, heart-centered social media posts inspired by affirmations, therapy tips, or quotes. I’ll handle captions and posting, so you’ll just focus on clean, calming designs that match Transcmend’s holistic brand.

I’m looking for someone with at least one year of experience in U.S. medical or mental health billing, familiarity with SimplePractice or similar systems, and comfort working with CPT codes and insurance portals. Clear communication, strong attention to detail, and confidentiality are essential.
