Who We’re Looking For:
We’re on the hunt for a highly organized, detail-obsessed Virtual Assistant with deep experience inside Go HighLevel. This role starts off as a temporary full-time contract to help us update our systems and organize critical tasks—but if you’re great, we’ll have a long runway of future work and full-time opportunity.
We need someone who doesn’t just manage tasks—they optimize entire workflows. Someone who listens carefully, follows through fast, and thinks ahead without being micromanaged. If you love structure, live in HighLevel, and enjoy keeping teams organized and accountable—you’re who we’re looking for.
Key Responsibilities:
- Summarize AI-generated call notes (from tools like Fireflies, Fathom, or Otter) into clear, actionable updates
- Update & maintain account notes across HighLevel for client & internal projects
- Create and assign follow-up tasks with deadlines, dependencies, and priorities
- Manage & streamline Go HighLevel workflows, tags, pipelines, and automations
- Collaborate with leadership to optimize internal processes
- Provide virtual admin support including file management, SOP tracking, and task management
- Light graphic design using Canva or similar tools (social media graphics,
- (Bonus) Video editing for repurposing meeting clips, testimonials, or VSLs
Required Skills & Experience:
- 2+ years experience as a Virtual Assistant (preferably with U.S.-based clients)
- Proven proficiency inside Go HighLevel (CRM, pipelines, automations, forms, triggers,
- Excellent written & spoken English communication
- Strong ability to summarize notes and create organized follow-up
- Detail-oriented and conscientious—you catch mistakes others miss
- Can take direction and also work independently
- Comfortable using tools like Google Drive, Trello, Slack, Notion, and ChatGPT
Bonus Skills (Not Required, But a Plus):
- Canva or similar graphic design tools
- Basic video editing (e.g., Descript, CapCut, Adobe Express)
- Copywriting or formatting
- Familiarity with client reporting dashboards or analytics
Work Schedule:
- Temporary Contract: Full-Time (40 hours/week)
- Must overlap with U.S. time zones for at least 4 hours/day
