Scheduling Coordinator for US Physical Therapy Office

Salary: $ ---------- /month (based on experience) – Paid on the 1st & 15th via Wise/PayPal
Perks: $100 monthly “Zero-Mistake” bonus

Hours: 32-40 hours/week, Sunday evening, Monday–Friday, US Mountain Time (11:30 AM–7 PM MST, 1 hr un-paid lunch)

Start Date: Immediate – Paid 1-Week Trial for Top Candidates

We’re a growing US-based Physical Therapy group specializing in TMJ, neck pain, and headaches. Our patients love us because we’re empathetic, detail-focused, and always accountable. We need a rockstar coordinator to keep our schedule running smoothly so our medical providers can focus on healing! Our patients are out-of-pocket payers (no medical billing). So these patients deserve a voice from us that's caring, upbeat and highly accountable! That's where you come in!

Your Role (Key Duties):
• Book & Manage Appointments: Handle patient calls/emails via Wix booking system/Google Calendar – confirm details, send reminders, reschedule with care.
• Schedule New Patients: follow up consistently with new patients with systematic friendly prompts- from the initial contact until their first visit
• Empathetic Patient Communication: Answer inquiries, calm frustrated patients, build trust (you’ll be their first friendly voice!).
• Spreadsheet Magic: Update Google Sheets daily with patient info, session notes, and follow-ups – 100?curacy required.
• Google Photos Organization: Upload/alphabetize sort treatment photos securely for records.
• Daily Accountability: Log tasks, hit deadlines, report weekly wins – we celebrate reliability!
• Tools You’ll Use: Wix (booking), Google Sheets/Photos/Calendar, email, phone (VOIP provided).

Must-Have Skills & Qualities:
• Consistently Accountable: You follow through EVERY time – no excuses!
• Empathetic Communication: Warm, patient-focused tone.
• Detail-Oriented: Zero errors in scheduling/emails or data entry.
• Comfortable with Google Sheets/Photos (advanced formulas/folders) + Wix (booking setup).
• 1–2+ years admin/scheduling experience
• Fluent English
• Reliable internet + quiet workspace.
• Excited to learn more/contribute to the team when your assigned work is completed
