JOB OVERVIEW

Job Description
We are hiring an Accounts Receivable Specialist to manage invoicing, collections, reconciliations, and reporting across our native accounting system and QuickBooks with accuracy and clear customer communication. During non-busy hours, this role also serves as a Virtual Assistant (VA) for general administrative tasks. (Schedule: 9-hour shift with 1-hour lunch and two 15-minute breaks.)

Key Responsibilities:
Invoicing and credits with proper QuickBooks coding
Collections and payment processing with escalation when needed
Customer support via email and phone, manage tickets and Asana tasks
Reconciliation between systems and fast discrepancy resolution
AR reporting, accurate SOA and Open Balance, weekly KPI submission
Create and maintain SOPs in Wiki
Protect confidentiality of all financial information
Cross-team collaboration and continuous process improvements
VA support during non-busy hours

Required Qualifications:
Excellent Communication Skills Strong written and verbal English
QuickBooks Experience Hands-on use required
Educational Background Bachelor’s in Accounting, Finance, or related field preferred
Attention to Detail High accuracy in data entry and reconciliation
Experience Minimum 1 year in Accounts Receivable or a similar role
Bonus Proficiency with Excel, ticketing systems, Asana, and Wiki


A plus to have:
Certification QuickBooks certification
Familiarity with Wiki Experience creating and updating documents in any wiki platform
Advanced Excel Skills VLOOKUP or XLOOKUP, PivotTables, and data analysis tools
Project Management Tools Proficiency with Asana or related tools
GAAP Strong working knowledge of Generally Accepted Accounting Principles
