We are hiring a full-time Operations Assistant to support our short-term rental (Airbnb / Vrbo) business across the U.S. You will work directly with guests, contractors, and our internal team to keep operations running smoothly. This role is part customer-facing, part systems admin, and fully essential.
We are a hospitality-first, operations-focused team managing short-term rentals (Airbnb / Vrbo) across multiple U.S. markets. Our business is built on trust, responsiveness, and continuous improvement. Every member of our team plays a key role in making sure our guests have smooth, memorable stays and our clients feel supported and in control. We don’t believe in micromanagement. We believe in clarity, ownership, and solving problems the right way, not just the fast way.
Our team is currently a tight, high-performing group of VA teammates handling daily operations, guest messaging, vendor coordination, pricing, reporting, and more. We use tools like OwnerRez, OpenPhone, GHL, PriceLabs, Slack, Notion, Monday and Google Drive to manage the business. We are now transitioning our task management and knowledge base to Notion to centralize information and support faster, more confident decisions. We are also beginning to integrate AI across our workflows to assist with research, flag issues faster, and suggest better paths forward. AI is not here to replace our team. It is here to help our people succeed and add more value each day.
Our goal is to double or triple our portfolio over the next two to three years. To do that, we are investing in better systems, cleaner handoffs, and smarter support. We plan to implement Hostbuddy to automate routine guest communication and give our VA team more space to focus on high-value operations. This will let us shift energy toward solving real problems, improving service quality, and driving strategic improvements. You do not need experience with Airbnb or short-term rentals to apply. What matters more is your mindset. If you come from a hospitality background, have supported demanding clients, or have solved problems in a fast-moving work environment, we want to talk. We’re looking for someone who is quick-thinking, articulate, organized, and eager to grow.
You will be online and working during U.S. daytime hours, which means overnight hours in the Philippines. Your shift will involve responding to guest questions, coordinating with cleaners and vendors, updating internal systems, flagging risks, and helping us improve how we work.
Some examples of what you might do: message a guest who can’t find the Wi-Fi code, confirm a cleaner completed a job with photo proof, organize a Notion page to make it easier to use, update a daily report, or suggest a better way to handle damage claims.
You should have strong written English, a stable internet connection (at least 50 Mbps), and confidence using tools like Google Sheets, Slack, Notion, or CRMs. We will train you on our systems, but we are looking for someone who learns quickly and doesn’t need to be told the same thing twice.
