Role Summary:
We’re looking for a proactive Virtual Assistant who will assist in building out our external execution engine. Your initial project focus will be researching, screening and coordinating freelance vendors (e.g., video editing, social-media posting), helping our team maintain a high-quality standard, and managing the workflow around those tasks.
Key Responsibilities:
Research freelance platforms (e.g., Fiverr, Upwork) to identify potential vendors for video editing, social posting, content production. Review list of any candidates we have pre-chosen.
Screen freelance vendors: review portfolios, pricing models, communication style, turnaround times.
Present a short list of vetted freelancers with evaluation and recommendation in organized fashion.
Coordinate onboarding of selected freelancers: set expectations, share guidelines, ensure delivery schedule.
Help manage social-media posting workflow: scheduling, tracking deliverables, quality check.
Assist with light administrative tasks related to marketing operations: tracking documents, maintaining vendor database, updating spreadsheets.
Provide regular status reports: number of vendors vetted, onboarded, issues, suggestions for improvement.
Required Skills & Qualifications:
Excellent written English communication (clear, prompt, professional).
Experience with freelance marketplaces (Fiverr, Upwork) or comfortable learning quickly.
Strong organizational skills: managing lists, tracking deliverables, working with spreadsheets.
High standards for quality — attention to detail, aesthetic sense, taste.
Comfortable working remotely with minimal supervision; proactive mindset.
Reliable internet connection and ability to work in a U.S.-friendly time zone overlap.
Preferred (but not required):
Experience with marketing agencies or marketing operations.
Familiarity with social-media scheduling tools (Metricool) or basic video-editing vendor workflows.
Hours & Compensation:
Initially part-time (e.g., 10-20 hours/week) with potential to scale to full-time.
Compensation: ~20 hours/wk @ $4-7/hr.
Trial period: 2-4 weeks with specified deliverables to evaluate fit.

4. How do you define “good quality work” for video editing/social media posting?
5. How do you handle a vendor who delivers work that doesn’t meet your quality standard?
6. Are you able to work within U.S business hours overlap? What hours are you available? Although a lot of work might be done in the US nighttime hours, we might also need to communicate during US business hours.
