We are DeleiteS, a catering and event-planning brand based in Miami, offering culinary experiences, exquisite presentations, and seamless coordination. From corporate dinners to brunches, grazing tables, and themed food stations — every event is a reflection of our passion for detail and design.

We’re looking for a Personal Executive Assistant to support our Event Director & founder (Shallya) and help bring our creative and operational vision to life. You’ll be her right hand — helping manage communications, workflows, proposals, and creative content for DeleiteS while keep and eye on her other project like the work she does with BarBae Miami & WMW (Wonderful Miami Weddings).

Overview:

This is a high-trust, part-time position (20 hours per week) with growth potential into full-time. You’ll work closely with the Director to handle daily administrative, creative, and coordination tasks.

You must be bilingual, highly organized, proactive, and comfortable juggling multiple projects — from social media content to vendor outreach to preparing client materials.

Key Responsibilities

Executive & Administrative Support

- Assist the Event Director with day-to-day operations, inbox management, scheduling, and client communication.
- Add and organize new leads, contacts, and business cards into the CRM (Lynxs or Airtable).
- Send professional follow-ups and messages on behalf of the Director.
- Prepare and manage automations and templates following company SOPs.
- Update and organize Google Drive folders, Airtable records, and shared files.

Event & Operations Support
- Help prepare shopping lists, BEOs (Banquet Event Orders), and proposals for upcoming events.
- Reach out to vendors for quotes, confirmations, and partnerships.
- Assist with preparation of media kits, presentations, and vendor packages.
- Support coordination for both DeleiteS and BarBae events as needed (remote prep, occasional onsite communication).

Digital & Creative Tasks
- Create and schedule 2–3 weekly posts per brand, and publish stories during live events.
- Collaborate with the Director on caption writing, brand voice, and aesthetics.
- Update content and forms on the WordPress website (events, menus, contact forms, photos, etc.).
- Maintain alignment with both brand identities (DeleiteS – elegant and elevated; BarBae – vibrant and bold).

What You’ll Need to Succeed
- Want to have an stable career with a long term commitment.
- Bilingual fluency (English & Spanish) — written and spoken.
- Proven experience as an Executive Assistant, Admin Assistant, or Social Media Coordinator, preferably in hospitality, events, or creative industries.
- Excellent organizational and multitasking skills with strong attention to detail.
- Experience using WordPress, Google Workspace, Canva, WordPress, Airtable, and CRM tools (GoHighLevel or similar).
- Basic understanding of social media management (Instagram, LinkedIn, etc.) and content scheduling tools.
- Strong written communication — able to draft polished messages and follow the brand tone.
- Positive, proactive, and resourceful attitude with a willingness to learn and take initiative.
