We’re looking for a Digital Operations Assistant to help us lay the foundation for growth. This is a ground-floor opportunity with tremendous potential to expand into a leadership role as the agency scales.

About the Role

The Digital Operations Assistant will be hands-on in helping organize, build, and systematize the backend of a growing marketing agency. This is not a narrowly defined assistant position. It is for someone who loves variety, thrives in start-up energy, and wants to help build the systems that will shape how our agency runs.

You’ll support everything from project organization and client onboarding to automations, scheduling, and light marketing ops. As we grow, this role will evolve into a management or operations leadership position for the right person.

What You’ll Do

Operations & Organization
-Build and maintain digital systems for project tracking, content calendars, and deliverables
-Help establish structure and processes during our foundational growth phase
-Keep client work, files, and communications organized and easily accessible

Systems & Automation
-Oversee day-to-day management of GoHighLevel (GHL), ensuring all automations, funnels, and CRM systems operate smoothly
-Troubleshoot issues in workflows and integrations, reporting or resolving as needed
-Support Zapier connections and system documentation
-Help build SOPs for repeatable tasks as we scale

Marketing & Content Support
-Upload and schedule content across brand accounts using GHL Social Planner
-Add captions, hashtags, and links provided by the creative team
-Review content for alignment and accuracy; light editing or design experience is a plus

Client & Team Coordination
-Manage scheduling for meetings, follow-ups, and deliverables
-Support onboarding and ongoing communication for clients across multiple brands
-Collaborate with the founder and future tea ---------- mbers to streamline operations

Performance Tracking
-Update weekly KPI trackers and task sheets
-Provide clear weekly progress recaps during check-ins

What You Bring
-2+ years of experience in digital marketing, agency ops, or virtual assistance
-Strong knowledge of GoHighLevel (GHL), Zapier, and Google Workspace
-Highly organized, detail-oriented, and comfortable wearing many hats
-Excited about building something from the ground up and growing into a leadership role
-Excellent communication skills and self-management in a remote environment
-A proactive, solution-oriented mindset. You take initiative and love finding better ways to do things

Bonus Points For
-Experience creating or refining business systems or SOPs
-Light design or Canva experience
-Interest in wellness, entrepreneurship, and emerging AI technology
