We’re a fast-growing e-commerce brand scaling quickly through paid ads and influencer marketing.
We handle product sourcing, fulfillment, and logistics through 3PL partners , and we need a hands-on operator to bring structure, clarity, and reliability to our backend. Your Mission

To own daily operations, from customer experience to supplier and 3PL coordination, while building repeatable systems that scale without chaos.

You’ll be the person making sure that:

- Orders get fulfilled accurately and on time
- Customers are updated and cared for
- The backend runs like a well-oiled machine

What You’ll Be Doing

Customer Service & Team Management

- Manage and mentor 1 CS rep (and future hires)
- Personally handle escalations, disputes, or complex customer issues
- Implement SOPs for refunds, replacements, and response templates
- Track metrics: response time, refund rate, resolution rate, etc.

Fulfillment & 3PL Coordination

- Manage daily order tracking between Shopify and our 3PL
- Follow up on any missing or delayed shipments
- Coordinate inventory updates, restocks, and product shipments from suppliers to 3PL
- Forecast demand using ad spend, sales data, and product velocity
- Ensure SKUs are properly labeled and updated in all systems

Operations & Process Building

- Build SOPs for recurring tasks (orders, refunds, customer issues, logistics)
- Create dashboards and trackers for visibility (Google Sheets, Notion, or Airtable)
- Implement lightweight automations (Zapier, Notion formulas, etc.)
- Generate weekly reports on fulfillment speed, refund rate, and CS health

Strategic Operations

- Identify bottlenecks and propose process improvements
- Work closely with the founder to prepare operations for campaigns and promos
- Keep all stakeholders informed with clear updates

Tools You’ll Use

- Shopify
- Slack / Notion / Google Sheets
- Re:Amaze (Customer Service)
- ShipStation or 3PL dashboards
- Zapier / n8n (Automation tools)

Who You Are

- You’ve managed, fulfillment operations for an e-commerce brand, (preferably with 3PL or dropshipping background)
- Strong written and spoken English (clarity matters more than fancy words)
- Extremely organized, loves documentation, systems, and SOPs
- Proactive problem-solver — doesn’t wait for permission to fix something
- Understands numbers (you can spot inefficiency in a spreadsheet)
- Thrives in a founder-led, fast-changing environment

Bonus Points

- Experience managing Philippine-based CS or VA teams
- Background in Shopify analytics, inventory forecasting, or supply chain
- Can create or optimize SOPs and dashboards
