Are you a highly organized, bilingual go-getter with a knack for seamless coordination and a passion for the fast-paced Miami event industry? We are BarBae Miami, a vibrant and growing premium mobile bartending and catering business specializing in unforgettable, highly themed bar experiences (from Tulum Vibes to Great Gatsby). We need a dedicated Virtual Assistant (VA) to join our team!
This is a demanding, high-impact role requiring exceptional attention to detail and the ability to thrive in a dynamic environment. You'll be the backbone supporting our Event Manager, ensuring every detail of our customized events is meticulously planned and executed.
???? Key Responsibilities:
• Bilingual Communication & Translation: Fluently speak, write, and translate between English and Spanish for both internal (Miami staff) and external communications (clients, vendors).
• Customized Proposal Creation: Work closely with the Event Manager to draft, edit, and format detailed client proposals for custom cocktail menus and themed experiences (e.g., Havana Nights, Speakeasy).
• Logistics & Procurement: Manage and execute precise event shopping lists for premium ingredients and coordinate Bar Bites (small plate catering) logistics with our culinary partner, Deleites Events.
• Staff Coordination: Manage the bartender and staff schedules, ensuring proper staffing levels for all booked events and communicating shifts clearly with our energetic team.
• Themed Event Support: Assist in gathering materials and coordinating details specific to the unique themes of each event, ensuring our high-level brand standards are met.
• Fast-Paced Problem Solving: Anticipate needs and quickly resolve logistical issues common in the mobile event and Miami environment.
???? What You'll Need to Succeed:
• Fluent Professional Proficiency in both English and Spanish (written and verbal communication is critical for our Miami-based clientele and staff).
• Proven experience as a Virtual Assistant, Administrative Assistant, or similar role, preferably in the hospitality, events, or catering industry.
• Experience in theme-based event planning or creative proposal writing is a major advantage.
• Exceptional organizational and time-management skills; you must be able to juggle multiple, highly customized projects simultaneously.
• Proficiency with common office software (Google Workspace, Microsoft Office, etc.). Experience with scheduling or CRM software is a major plus!
• A proactive, solution-oriented attitude and the ability to work independently in a fast-paced, deadline-driven environment.
