Sales Order Management Specialist

Tank Stream Design is seeking a highly detail-oriented, proactive, and enthusiastic Order Management Specialist to join our dynamic National Account team in a remote capacity. This pivotal role requires a strong communicator with exceptional organizational and analytical skills, and a passion for delivering seamless customer experiences.
As the primary support person to the National Account Team, you will manage end-to-end order processes with accuracy, urgency, and professionalism. In addition to core order management tasks, you’ll also engage in data analysis to identify order trends, customer buying patterns, and opportunities for process improvement. Proficiency in Microsoft Office Excel (intermediate level or higher) is mandatory, particularly in Excel for data handling and reporting.
Experience with business processing systems such as SAP or similar ERP platforms will be highly regarded. The ideal candidate thrives in a fast-paced environment, is confident using video conferencing tools, and is comfortable regularly collaborating via Microsoft Teams video calls and screen sharing to ensure transparency, alignment, and team success.

Core Responsibilities:
Order Processing & Management
o Convert, review, and accurately enter wholesale purchase orders into the sales ordering system.
o Ensure orders meet pricing, quantity, shipping and terms agreements.
o Monitor order status and track progress through to delivery.
Administrative & System Tasks
o Assist with processing and sending invoices and credit notes to Wholesale Customers in a timely manner.
o Maintain accurate and up-to-date records for all P.O’s and credit notes submitted.
o Provide updates on order status, shipping confirmations, and backorder situations and relay details back to National Account Managers.
o Address and resolve order-related inquiries or complaints promptly.
o Use Video Conferencing tools like Microsoft Teams for regular Video Calls and Screen Sharing.

2. Inventory Coordination
o Manage and update the Stock Availability Report to share with the National Accounts Team weekly.
o Manage and update reports related to order trends, stock fulfillment rates to anticipate shortages or overstock situations.
3. Shipping & Logistics Coordination
o Liaise with the TSD Warehouse or shipping partners to arrange or locate deliveries to ensure timely fulfillment and positive customer experience.
o Generate shipping documents, delivery notes or invoices to provide the National Accounts Team or Wholesale Customers with shipments details.
