Executive Assistant (Virtual) – Independent Contractor
We are seeking a highly organized and reliable Executive Assistant / Virtual Assistant to provide executive-level support to the CEO of a U.S.-based semi-professional basketball organization operating under a broader media and production company. This is a remote, part-time independent contractor role with flexible hours, ideal for someone who thrives in a fast-paced, creative environment and can manage multiple moving parts with precision and professionalism.
Key Responsibilities
???? Executive Support & Calendar Management
Manage and maintain the CEO’s calendar, including meetings, events, and travel coordination
Schedule calls, confirm appointments, and prepare daily agendas
Act as a gatekeeper by prioritizing tasks and managing time-sensitive communications

Monitor, organize, and respond to multiple inboxes
Draft professional
Coordinate communication between partners, collaborators, and internal tea
?? Operations & Workflow Coordination
Support day-to-day operations for both the basketball and media arms of the organization
Maintain project trackers, meeting notes, and follow-up systems
Assist in developing and refining internal Standard Operating Procedures (SOPs)
???? Project & Event Coordination
Help plan and execute community events, performances, and meetings
Liaise with partners, vendors, and volunteers to ensure logistics run smoothly
Track project deliverables and timelines across teams
???? Admin & Financial Support
Submit and track invoices, receipts, and reimbursements
Coordinate with bookkeeper/accountant for recordkeeping
Assist with vendor payments and operational expense tracking
???? Document & Presentation Creation
Create and organize Google Docs, Sheets, and Slides for meetings and presentations
Maintain shared folders (Google Drive/Dropbox) and ensure assets are updated
Format simple documents and forms as needed
Qualifications
Proven experience as a virtual or executive assistant
Strong written and verbal communication skills
Excellent organization, attention to detail, and follow-through
Proficiency in Google Workspace (Docs, Sheets, Slides) and online communication tools
Reliable internet connection and the ability to work independently
Flexibility to align with U.S. Eastern Time zone
Nice to Have (But Not Required)
Experience working in sports, events, or creative industries
Familiarity with Canva or similar tools
Interest in media, entertainment, or motivational leadership
Compensation & Time Commitment
Part-Time: $300 USD monthly retainer
Incentive bonus available
