JOB OVERVIEW

About the Role

We’re seeking a reliable and experienced Virtual Assistant to join our growing e-commerce team. The ideal candidate will have at least 5 years of proven experience in customer service and e-commerce support, with strong communication skills and excellent attention to detail.

You’ll be responsible for managing customer service inquiries, tracking and resolving order issues, and helping with daily product listings on Shopify. This is a long-term position with room to grow for the right person.

Deliverables
Key Responsibilities
1. Customer Service & Order Management
Handle customer emails and phone inquiries regarding orders, tracking, returns, and reviews.
Coordinate with suppliers and couriers to proactively resolve any shipping or delivery delays.
Manage return and refund requests professionally and efficiently.
Send post-purchase review and follow-up emails to ensure excellent customer satisfaction.
Maintain accurate and timely records of customer interactions.
2. Product Listing & Content Support
List 20–30 products per day on Shopify using a provided cheat sheet and ChatGPT-generated descriptions.
Upload and optimize product images for web and mobile using ChatGPT.
Ensure product listings are formatted correctly and SEO-friendly.
Maintain accuracy and consistency in product titles, descriptions, and tags.
3. Administrative & Communication Support
Collaborate with internal team members to ensure smooth daily operations.
Manage task updates and progress tracking via shared tools (Google Sheets, etc.).

Requirements
Minimum: 5+ years of experience in customer service or virtual assistance for an e-commerce business.
Proven experience handling Shopify, AliExpress, or other product-sourcing platforms.
Excellent written and verbal English communication skills.
Strong computer literacy and fast typing speed (must be efficient and quick with online tools).
Confident handling multiple tasks at once while maintaining accuracy.
Proactive, dependable, and solutions-focused under pressure.

Preferred Experience
Experience with Shopify product listings and e-commerce automation tools.
Understanding of product import/export processes (AliExpress, DSers, etc.).
Familiarity with image optimization tools (Canva, ChatGPT, or similar).
