The Executive Assistant & Appointment Setter role is a key support position for Soulpreneur Success Code. Soulpreneur Success Code is a coaching business led by Business Coach and Intuitive Healer Ann Hession.
The business is focused on supporting and transforming Healers, Coaches and Entrepreneurs who struggle to gain the business skills they need, so they can create a thriving business doing the work they love.

This is a FULL TIME 40 hours/week position. Must be willing to work US hours.
RESPONSIBILITIES FOR THIS JOB INCLUDE:
Executive Assistance & Administrative Support
* Calendar Management – create, manage, and streamline CEO’s time and scheduling systems, prioritizing appointments and working directly with executives, customers, and partners.
* Support meeting preparation and follow-up, ensuring awareness/prep and tracking post-meeting actions.
* Manage and organize the executive’s inbox – drafting responses, flagging priorities, and maintaining communication flow.
* Coordinate onsite & offsite meetings, travel logistics, and event planning.
* Handle confidential and proprietary information with discretion.
* Create, manage, and maintain filing systems (digital and physical), including financial paperwork, client records, and intellectual property.
* Prepare and edit PowerPoint presentations and internal reports.
* Project Management – prioritize tasks, streamline workflows, and ensure deadlines are met.
* Assist with personal and administrative tasks as assigned by the CEO.
Appointment Setting & Sales Coordination
* Manage the leads pipeline – track, nurture, and follow up with leads to ensure stellar client experience at every stage.
* Schedule and confirm client appointments using online schedulers (Acuity, Calendly, etc.)
* Follow up with prospects from speaking engagements, events, podcasts, etc.
* Respond to inquiries and support the Sales team in managing warm leads.

* Maintain accurate records (experience with KEAP or similar CRM is a plus).
* Generate weekly or monthly reports to help leadership make data-driven decisions.
THE IDEAL CANDIDATE:
Has excellent time management and project management skills.
Tech-savvy and proficient in all major platforms (Gsuite, Asana, CRM systems).
Experienced in
Detail-oriented, proactive, and resourceful — anticipates needs instead of waiting for direction.
Loves being “behind-the-scenes” support who makes everything run smoothly.
Possesses strong communication and interpersonal skills
Thrives in a fast-paced, results-oriented environment.
Intuitive, grounded, and highly organized — able to juggle multiple projects without dropping the ball.
Has experience in appointment setting, lead management, or sales support (preferred but not required).
