JOB OVERVIEW

We are seeking a highly organized, proactive, and detail-oriented Virtual Assistant to support a successful U.S.-based businessman with personal and business administrative tasks. This role requires exceptional communication skills, the ability to multitask, and a strong commitment to confidentiality and professionalism. The ideal candidate will be based in the Philippines and capable of working U.S. hours to ensure seamless collaboration.Key Responsibilities:Calendar and Schedule Management:Manage and prioritize the executive’s calendar, scheduling meetings, appointments, and travel arrangements across multiple time zones.
Send reminders and confirm appointments to ensure smooth operations.


Email
and Communication Support:Monitor, filter, and respond to emails promptly, flagging urgent matters for the executive’s attention.
Draft professional correspondence, reports, and presentations as needed.

Business Administration:Handle invoicing, expense tracking, and basic bookkeeping tasks using tools like QuickBooks or Excel.
Coordinate with vendors, clients, and tea ---------- mbers to facilitate business operations.
Organize and maintain digital files, contracts, and important documents.

Personal Assistance:Arrange personal appointments, such as medical visits, family events, or personal errands.
Manage travel logistics, including booking flights, accommodations, and itineraries.
Assist with personal tasks, such as online shopping, reservations, or coordinating household services.

Project Coordination:Support business projects by tracking deadlines, deliverables, and coordinating with stakeholders.
Conduct light research on business opportunities, competitors, or industry trends as directed.

Technology and Tools:Utilize tools like Google Workspace, Microsoft Office, Trello, Asana, or Slack for task management and communication.
Adapt to new software or platforms as required for efficient workflow.

Qualifications:Proven experience as a Virtual Assistant, Administrative Assistant, or similar role (2+ years preferred).
Excellent command of the English language (written and verbal) for professional communication.
Strong organizational skills with the ability to prioritize tasks and meet deadlines.
Proficiency in Microsoft Office, Google Workspace, and project management tools (e.g., Trello, Asana).
Familiarity with bookkeeping software (e.g., QuickBooks) is a plus.
High level of discretion and ability to handle sensitive information confidentially.
Reliable internet connection and a quiet, professional workspace for remote work.
Ability to work flexible hours, including U.S. business hours (Eastern Time).
Proactive problem-solver with a positive, can-do attitude.
Bachelor’s degree or equivalent experience preferred but not required.
