We're a growing family-owned business, operating multiple major QSR (Quick Service Restaurant) brand locations and a hair salon. We need a top-tier professional who can manage both the executive's time and the essential operational and financial logistics to help us scale and thrive.
This is a long-term, full-time (sole operator), remote role with significant room to grow. It is expected that this role will be the single point of administrative, operational, and financial support for the Founder and the businesses.

What You'll Do
Executive & Strategic Management
Manage the Founder's digital presence, including calendar, inbox, and task list to ensure a focus on high-impact priorities.
Build and maintain a robust library of Standard Operating Procedures (SOPs) to support business growth and consistency.
Optimise internal systems by continuously reviewing and improving team workflows.
Operational Coordination & Logistics
Manage store logistics, including placing stock orders based on counts provided by store staff to ensure inventory levels are consistently maintained.
Assist with staff rostering to balance labor costs with operational demand across all locations.
Monitor staff and restaurant performance indicators (e.g.QSR REV scores shift vibe reports).
Financial & Administrative Support
Handle general bookkeeping duties, including data entry, bank reconciliation, and expense tracking in Xero.
Process payroll for all employees with complete accuracy and confidentiality.
Prepare contracts and onboarding documents for new tea
Brand & Systems Support
Extensive hands-on experience using Asana for project, task, and workflow management is required.
Proactively monitor and respond to customer reviews to enhance the customer experience.
Develop and manage local store marketing campaigns and our social media presence.
What We're Looking For
Experience as an Executive Assistant, Virtual Assistant, or similar corporate strategic role.
Exclusivity Commitment: Must be committed to working with us exclusively. Candidates currently holding other freelance contracts or significant part-time roles must demonstrate a clear plan to transition to sole employment with our company.
Experience using Asana for project, task, and workflow management.
Demonstrated experience with bookkeeping and processing payroll.
A degree in Commerce, Management, or Administration.
Exceptional written and verbal communication skills in English.
The ability to take initiative and problem-solve autonomously.
Strong organisational skills and meticulous attention to detail.
Proficiency with Google Workspace, Xero, and Canva.
Must be available and online during our QSR locations' operational hours.
We'll Measure Success By
You will have succeeded when:
The Founder's day-to-day admin is reduced by at least 90%.
Quarterly Restaurant Excellent Visit (REV) scores are consistently above 85%.
All financial records and documents (including payroll) are maintained with complete accuracy.
You provide proactive solutions to challenges before they escalate.
Local store marketing programs are executed on time and effectively.
