We’re seeking a Virtual Assistant to work directly with our Owner to streamline operations, improve communication, and ensure accountability across clients, vendors, and internal teams. This is a key role for someone who enjoys bringing structure, organization, and clarity to a fast-moving technology environment.
Key Responsibilities
Executive & Administrative Support
Serve as the direct assistant to the Owner — managing scheduling, reminders, and follow-ups on action items.
Join key meetings (client, internal, and vendor) to take structured notes, summarize takeaways, and track follow-up tasks.
Prepare meeting agendas, and ensure commitments are followed through by the appropriate tea
Draft and send professional client communications on behalf of leadership.
Financial & Vendor Management
Reconcile monthly vendor invoices (software, hardware, cloud services, etc.) against customer agreements to ensure billing accuracy.
Maintain a vendor renewal calendar, tracking terms, price changes, and renewal deadlines.
Flag any discrepancies or opportunities to optimize costs.
Metrics & Operations
Review metrics from our service boards (e.g., ticket volume, SLA compliance, tech productivity).
Provide simple summaries and insights to leadership, highlighting trends or concerns.
Assist in maintaining clean data and accountability within ConnectWise, NinjaOne, and BrightGauge dashboards.
Client & Marketing Support
Draft client-facing follow-ups, status updates, and deliverables after meetings.
Take concepts or meeting ideas and help turn them into polished marketing assets — brochures, one-pagers, or client flyers.
Maintain a small library of CoreTech templates and ensure all materials meet brand standards.
Organization & Project Coordination
Keep track of ongoing initiatives, deadlines, and recurring responsibilities.
Coordinate follow-ups for client onboarding, renewals, and QBR preparation.
Help with light documentation updates and process improvements in Hudu or internal SOPs.
Qualifications
Experience: 2+ years in an administrative, operations, or virtual assistant role (MSP or IT industry experience preferred).
Technical Comfort: Comfortable using CRMs, ticketing systems, or similar tools (ConnectWise, HubSpot, Monday, Asana, etc.).
Skills: Excellent organization, written communication, attention to detail, and ability to manage multiple priorities.
Mindset: Proactive, dependable, and resourceful — thrives in a fast-paced, evolving environment.
Tools: Proficient in Microsoft 365, Teams, and Excel/Sheets; design familiarity with Canva or similar tools a plus.
