About the PERMANENT Position:
We’re seeking a Full-Time, Permanent Virtual Assistant / Customer Experience & Events Coordinator who can wear multiple hats: inbound sales representative, receptionist, event coordinator, and administrative assistant.
You’ll be working directly with clients and staff across Canada, helping plan spa events, handle inquiries, and make sure everything runs smoothly from start to finish.
Your primary role will include:
--Responding to client calls and
--Planning and coordinating event details with clients
--Communicating with staff across multiple cities
--Performing various administrative and scheduling tasks
This is a remote, full-time position (40 hours/week). We are looking for someone to start immediately. Hours worked will be verified using employee monitoring software.
Requirements:
--Availability: Must be available to take calls and communicate with clients and staff between 11:00 AM – 9:00 PM EST, Thursday to Monday (40 hours per week)
--English Proficiency: Exceptional written and spoken English skills are mandatory (excellent grammar, spelling, and sentence structure).
--Typing Speed: 50+ WPM preferred.
--Technical Skills: Proficient with Word/Excel (or Pages/Numbers for Mac users).
--Equipment: Reliable computer, internet connection (plus backup), and smartphone.
--Work Environment: Quiet, private home office setup.
--Personal Traits: Highly organized, detail-oriented, and capable of managing multiple tasks efficiently.
--Personality: Friendly, upbeat, and professional phone manner - someone who can “smile through the phone” and create genuine rapport with clients.
--Commitment: Must be able to commit to the role long-term for at least 1 year (2+ years preferred).
--Learning Mindset: Eager to study and master our products, services, and pricing structure.
--Overtime: Willing to work overtime as needed (overtime pay will always be paid)
Preferred but Not Required:
--Experience with Payworks or other payroll systems
--Familiarity with Asana or other project management tools
--Experience using RingCentral or other VOIP phone systems
--Knowledge of HoneyBook or QuickBooks
--Comfort using Zoom or other video communication tools
--Possess Social Media or Graphic Design Skills
