Position Summary
The Purchasing Coordinator is responsible for issuing and tracking Purchase Orders (POs), Change Orders (COs), and Variance Purchase Orders (VPOs), while maintaining accurate cost and margin tracking across all projects and markets. This role ensures that customer and vendor onboarding, purchasing records, warranty information, inventory, and cost data are properly managed, enabling the company to achieve its key performance indicators (KPIs) and financial goals.
As a company primarily engaged in construction projects, most purchasing activities will involve construction labor and subcontractor costs, with minimal material purchases. The Purchasing Coordinator will therefore focus heavily on labor-related cost tracking, ensuring accuracy in PO and CO processing for service-based expenses rather than material procurement.

Key Responsibilities
Purchase Documentation
Review, release, and track all POs, COs, and VPOs.
Ensure payment requests match created POs and COs
Maintain accurate and complete purchasing records in the company's systems.
Ensure all documents are properly coded to align with budgets and job cost tracking.
Customer, Vendor & Subcontractor Management
Assist with onboarding new vendors and subcontractors, including collecting W-9s, insurance, and compliance documentation.
Keep customer and vendor/subcontractor records current and organized.
Serve as a liaison for vendors regarding order status, documentation, and compliance requirements.
Cost, Margin & Warranty Tracking
Track all costs per line item across multiple markets and projects.
Monitor project and market-level margins to ensure financial targets and KPIs are being met.
Prepare margin and variance reports, highlighting discrepancies or risks for management review.
Maintain warranty tracking logs to ensure vendor and subcontractor warranty commitments are documented and monitored.
Support continuous improvement in purchasing practices to protect and improve company profitability.
Inventory Tracking & Market Support
Track inventory of materials and equipment across projects and warehouses, ensuring availability and minimizing waste.
Provide purchasing and cost-tracking support for multiple active projects in different markets.
Work closely with project managers and purchasing leadership to ensure timely material orders and accurate cost coding.
Generate and distribute purchasing, cost, inventory, and margin performance reports for leadership.
Qualifications
Strong spreadsheets and data management skills; experience with ERP or construction project management software highly preferred.
High attention to detail, accuracy, and organization.
Strong communication skills and ability to coordinate across departments and vendors.
Experience with cost, margin, warranty, and inventory tracking is a strong plus.
Nice to Have
Bachelor’s degree in Business, Accounting, Construction Management, or related field preferred; equivalent experience considered.
1–3 years of experience in purchasing, construction administration, inventory control, or cost tracking (construction industry experience preferred)
