We’re seeking a highly organized, detail-oriented, and tech-savvy Virtual Assistant to join our team full-time.
You’ll help manage our Go High Level CRM, EMR reporting, and marketing/admin systems — ensuring our clinics run smoothly and our online presence stays strong.
???? Core Responsibilities
You’ll receive video walkthroughs and clear SOPs for every task. Your role will include:
???? Go High Level CRM & Marketing
-Tag and organize specific client contacts in Go High Level.
-Create and set up sub-accounts for our software/coaching clients.
-Schedule and publish social media posts
-Respond to Google reviews using our friendly, professional brand tone.
-Track and organize expense receipts in Google Drive (example: download the corresponding Amazon receipt, and link it in a google document)
Support general administrative communication with our U.S.-based team.
???? Clinic Data & Reporting
Pull weekly and monthly data reports from our EMR system (e.g., percent capacity, number of patients seen, cancellations, etc.).
Enter data into Google Sheets and maintain easy-to-read dashboards for leadership.
Calculate and update simple metrics (percentages, totals, growth trends).
Send brief weekly summaries highlighting key trends.
???? Hard Skills (Required)
Experience using Go High Level (or similar CRMs like ClickFunnels, ActiveCampaign, or HubSpot).
Strong Google Sheets skills — comfortable with basic formulas, charts, and dashboards.
Ability to navigate and pull data from EMR or reporting systems.
Experience scheduling social posts via Go High Level
Proficiency with Google Workspace (Drive, Docs, Sheets).
Professional written English (for communicating with our team and responding to reviews).

???? Podcast editing (training videos provided).
???? Canva for simple social post graphics.
???? QuickBooks Online for basic expense entry experience.
???? CRM automations or funnel setup experience in Go High Level.

Full-time: 40 hours/week (Monday–Friday).
Must have at least 2–3 hours overlap/week with U.S. Eastern Time (EST) for check-ins.
