JOB OVERVIEW

*Executive Assistant to Founder | Long-Term Partnership Opportunity*

Location: Remote - Able to work Montana, USA time which is Mountain Time. Most meetings would be around 3pm Mountain Time
Type: Part-time contractor (with potential to grow into a full-time, long-term role)
Starting Rate: $5-$6/hour with room for growth after 30 days based on reliability, performance, and initiative and bonuses
Starting hours: 10 hours/week with room to grow based on reliability and performance

Natalie Onacki is a multi-passionate entrepreneur, mom, and creative visionary behind several ventures — including Grain & Grove Experiences, a soulful event and mobile bar company, and several upcoming projects such as a children’s book, a connection-building game, and a nonprofit foundation focused on healing, wellness, and empowerment.

Her mission is to leave a legacy that changes lives — improving mental health, empowering women, and helping people reconnect with purpose and joy.

Natalie is also a high-functioning Executive Assistant and business consultant herself. She moves fast, thinks big, and thrives on building things with purpose. She’s seeking her right-hand person — someone who loves being an EA, takes initiative, and is excited to grow with her long term.

This is not a short-term gig. This is a long-term partnership for someone who wants to grow with the company and play a key role in bringing multiple creative and impactful projects to life.

*About the Role*

The Executive Assistant will support Natalie across both her business and personal life — managing organization, communication, content, and operations. You’ll help her stay grounded, focused, and moving forward as she builds multiple ventures.

You’ll be her go-to person — someone who can anticipate needs, take ownership of tasks, and thrive in an environment with variety and purpose.

*Key Responsibilities*

+Administrative & Operations

- Manage and organize emails (Gmail + HoneyBook)

- Reply to client inquiries through HoneyBook in Natalie’s voice

- Schedule meetings, calls, and events

- Organize and maintain Google Suite (Docs, Sheets, Drive)

- Maintain an organized Asana board for all projects and track progress

- Send reminders and follow-ups for upcoming tasks and deadlines

- Provide light bookkeeping support (tracking small business expenses)

- Book travel, manage logistics, and order gifts or personal items as needed

- Schedule personal appointments (doctor, errands, etc.)

- Bookeeping

+ Social Media & Creative

- Post 3x per week on Instagram + TikTok

- Manage daily Instagram Stories (affiliates, updates, etc.)

- Engage with followers and respond to DMs/comments in a warm, professional tone

- Edit photos and videos for posts, reels, and stories

- Maintain consistent brand voice and aesthetic

- Help create and organize affiliate links + Amazon Storefront

- Stay up to date on the every changing world of social media so we actually monetize by staying on top of algorithms etc.

+ Project Support

-Track and move forward large creative and business projects (e.g. selling Grain & Grove, launching book/game, affiliate monetization)

- Manage and document project action items in Asana

- Ensure consistent progress toward long-term goals:

- Selling Grain & Grove

- Monetizing social media through affiliates

-Advancing book and game launches

-Building ---------- ntum toward future event venue + nonprofit

+ Schedule & Meetings

-Daily: 15-minute check-in (Zoom, voice note, or email)

-Weekly: Two 30-minute meetings for updates and alignment

-Monthly: One 1-hour strategy session to review progress on large projects

* Requirements*

-3–5 years of Executive Assistant experience

-2+ years of social media management experience

*Proficient with*

-Asana (or similar project management tool)

-Google Suite (Docs, Sheets, Drive, Calendar)

-HoneyBook (or similar CRM platform)

-Instagram + TikTok (posting, engagement, scheduling)

-Skilled in photo and video editing (Canva, CapCut, or similar tools)

-Highly reliable, detail-oriented, and proactive

-Excellent written and verbal communication skills

-Comfortable balancing personal + professional support tasks

-Must be a self-starter who can work independently without micromanagement
