About the Role
Assistant to the Therapist (ATTT) is seeking an A+ Executive Virtual Assistant to support a Clinical Psychologist who runs a small private practice. This is a long-term position for someone who can become the psychologist’s right-hand partner — helping her stay organized, efficient, and focused on both clinical and personal priorities.
While tasks may seem numerous, they are generally not time-consuming and spread throughout the day. We’re looking for someone who’s a strong multitasker and can keep things running smoothly even when tasks shift quickly.
Key Responsibilities
Administrative & Executive Support
Manage and organize the psychologist’s calendar, including client sessions, consults, and meetings.
Handle
Coordinate and confirm appointments and reschedules.
Support personal administrative tasks, including forms and paperwork.
Take initiative to keep track of reminders, deadlines, and priorities.
Billing & Documentation
Review and double-check billing entries for accuracy.
Ensure client diagnosis and session notes align for record purposes.
Communicate with the billing specialist when needed to confirm updates.
Marketing & General Support
Assist with light marketing or social media tasks (posting, drafting, or follow-ups).
Research tools or ideas that can help improve practice efficiency.
Qualifications
At least 1 year of experience as a Virtual Assistant or Executive Assistant.
Strong organizational, communication, and time-management skills.
Proactive and resourceful — takes initiative and finds solutions independently.
Must be HIPAA-certified and familiar with Simple Practice or similar EHR systems.
Experience supporting mental health professionals is a plus.
Knowledge of marketing or social media tools preferred.
Hours & Pay
Starts part-time to allow gradual onboarding and task familiarization. The first two weeks will involve learning workflows and progressively taking on more responsibilities. With potential to be full time role.
