About Us:

Hi! We’re Panblanco Productions, a lean, creative video agency based in NYC. We produce high-quality branded content for entrepreneurs, service providers, and growing businesses from short vertical videos to full campaign shoots. We’re expanding fast, and we need someone reliable, organized, and sharp to help run the business backend with excellence.

About the Role:
We’re hiring a remote Operations Assistant who can help manage our day-to-day backend operations. You’ll support the business in three main areas:

1. Finance Admin
• Keep QuickBooks updated and organized (we’ll show you how)
• Tag and track all business expenses, income, and receipts
• Maintain a simple monthly profit/loss report
• Support invoice tracking, client payment status, and light bookkeeping
• Help prepare info for tax season

2. Client & Project Management
• Manage leads and active projects using HoneyBook, GoHighLevel, or Notion
• Track each client’s status (onboarding, feedback, edits, deliverables, etc.)
• Send reminders, links, follow-ups, and scheduling emails
• Keep all project data neatly organized

3. Executive & Studio Support
• Organize digital files (Dropbox, Drive) by client/project
• Keep track of monthly subscriptions, renewals, and business tools
• Support simple documentation (like updating SOPs or asset lists)
• Help us build more efficient systems (you’ll have a say!)

What We’re Looking For:
• Experience with QuickBooks or similar bookkeeping software (even basic)
• Comfortable using CRMs like HoneyBook, GoHighLevel, or Notion (or open to learning fast)
• Excellent written English and communication skills
• Super organized and detail-oriented
• Reliable with deadlines and fast response time
• Bonus if you’ve worked with creative businesses or agencies


Pay & Hours:
• $500 - $600/month USD (negotiable based on experience)
• 20–30 hours/week
• Fully remote | Must overlap with New York hours
• Potential for long-term growth and bonuses
